Process documentation Authorization Locate the document in its SAP Library structure

Purpose

During authorization, the clearing house significantly reduces risks for your company by guaranteeing payment of the transaction amount.

In the standard delivery, the system triggers authorization at the clearing house automatically when saving a document.

Prerequisites

     You have maintained the Customizing settings for authorization.

In Customizing, choose Customer Relationship Management ® Basic Functions ® Payment Cards ® Settings for Authorization.

     You have maintained the Customizing settings for the address- and card checks.

In Customizing, choose Customer Relationship Management ® Basic Functions ® Payment Cards ® Settings for Transactions ® Define Checking Group.

     The delivery date of the sales transaction or the billing date of the service process are in the authorization horizon. For more information, see Authorization Horizon.

Process Flow

...

       1.      You create and save a transaction with payment card as the payment form.

       2.      When you save the transaction, the system automatically triggers the authorization transaction. A remote function call (RFC) creates the connection to the corresponding authorization module in your clearing house.

       3.      The clearing house performs the following checks:

                            a.      On the basis of the card number, card verification value (CVV), and valid-to date, it checks whether the card is valid.

                            b.      It checks whether the card owner’s name and address are valid.

                            c.      It checks whether the transaction amount exceeds the limit set for this card.

       4.      The clearing house sends you a response, granting or denying authorization.

       5.      The system enters the information from the clearing house in an authorization line on the Payment Form tab page in the transaction document. A line is created for each attempted authorization.

Result

The authorization process leads to the following possible results:

     The clearing house grants authorization

If the transaction document contains no errors, the system automatically copies it to your ERP system. The status display in the authorization line on the Payment form tab page is green.

     You cannot contact the clearing house due, for example, to technical problems.

If the transaction document contains no errors, the system automatically copies it to your ERP system. Later, you can start a new authorization attempt in the ERP system or in the CRM system. The status light is yellow.

Note

If automatic authorization is not possible because of technical problems, you can also perform manual authorization in the CRM system, that is, after calling the clearing house, you can enter the authorization number and authorization amount directly in the document.

To do this, you require authorization COM_PAYP_A.

     The clearing house rejects authorization.

You can save the document in SAP CRM and retry authorization later. For more information, see Postauthorization. However, the rejected authorization counts as an error. Hence the system does not copy this document to the ERP system. The status light is red.
