Migration of Documents into the CM
Repository
In the BEx Web runtime (Java), you can migrate documents from the BI server into a special CM repository configured for BI. This repository is used exclusively for BI documents. After migration, the documents are available in the portal and can be edited in the portal using Web applications and KM iViews.

The migrated documents are not available in the BEx Analyzer. The documents that are stored in the BI system are available in the BEx Analyzer.

Note: The KM in the portal does not support any language versions. If a document on the BI server has more than one version, only one version is migrated. This version is determined as follows: Firstly, in the log-on language of the user that executes the migration, the most recent version of the document is searched for. If no document is found, the most recent version of the document (independent of the language) is migrated.
The following prerequisites are necessary for migrating documents.
· You have performed the necessary steps for integration into the portal. You have set up, for example, the SAP NetWeaver Portal and Knowledge Management (KM). These steps are in Customizing, under SAP Customizing Implementation Guide ® SAP NetWeaver ® Business Intelligence ® Reporting-Relevant Settings ® BEx Web ® Integration into the Portal.
· A configured BI system exists in the system landscape.
· You have set up the BI Document Repository Manager and entered BI documents for InfoProviders, master data and metadata of the BI system in the properties. See BI Document Repository Manager.
·
You have configured
a
CM
repository manager for BI documents in the portal. You have set the
persistence mode of the CM repository to Save All Data (Documents, Folders
and Metadata) in the Database (DB). You have configured a security manager
of the CM Repository Manager using the BI Security Manager for
Documents and in doing so have protected the migrated BI documents from
unauthorized access (you can only set up the security manager after migration,
this improves performance during migration).
· In Knowledge Management, you have assigned the necessary authorizations for the portal to the user who is performing the migration. These are:
¡ Authorizations for reading and writing document properties. Choose System Administration ® Configuration ® Content Management ® Utilities ® System Principals ® System User. Enter the user here and in the Resource Permission column, assign them Read, Write and Delete authorizations.
¡ Authorizations to change the BI system in PCD. Assign the user read and write authorizations.
The necessary settings are in Customizing, under SAP Customizing Implementation Guide ® SAP NetWeaver ® Business Intelligence ® BI Documents ® Creating a CM Repository for Documents andMigration of Documents into the CM Repository.
During migration, documents from the BI server are copied to the portal-based KM and are stored there physically in the CM repository. The CM repository has a fixed folder structure and uses the BI Security Manager for authorization checks. You can perform migration for each document class individually, or for several document classes simultaneously.
Migrating documents enables a wider functionality. For example, you can assign documents for master data and InfoProvider data at hierarchy-node level (as well as characteristic-value level).
You can make changes to migrated documents and BI server documents.

Note the following: When you make changes to migrated documents in the portal, these changes are not written back to the BI system and are not visible in the BEx Analyzer. Similarly, changes made to documents on the server after migration are not visible in the portal. If you want to view these changes in the portal, you have to migrate the documents into the portal again.
We recommend
that you migrate documents for master data and InfoProvider data to the CM
repository on the portal on a medium-term basis, since this allows you to use
more functions. Do not migrate documents for metadata if you want to transport
documents automatically with the metadata. For automatic transport, the
documents have to be accessible from the BI system. This is not the case with
migrated documents as they are stored physically in the portal. You can only
distribute documents that are stored in the portal using ICE with the content
distribution service (see
Content
Distribution).
