Function documentation Broadcast to the Portal Locate the document in its SAP Library structure

Use

Broadcasting to the portal is one way in which you can distribute BI objects (queries, query views, Web templates, reports or workbooks). You can put the precalculated documents or online links in a collaboration room or in a KM folder.

The KM folders Personal Documents and Public Documents are especially useful. If you have assigned Structure linkBusiness Explorer Roles in the portal then you can access these files from the iViews My Portfolio and BEx Portfolio.

When working with the documents in the portal, various knowledge management functions are available to you. You can add ratings, evaluations, feedback and/or personal notes to documents. For more information, see Structure linkFunctions for Objects in KM Folders

If you use the collaboration functions you can use the precalculated documents or online links for discussions with colleagues or work together in collaboration rooms. With subscriptions, you can be sure that you are automatically informed of changes to a document. You selected Broadcast to the Portal as the distribution type when you created the broadcast setting.

Target in the Portal

You can choose from the following settings options:

     File name: Enter the technical name under which the document is to be saved - either manually or using a text variable with This graphic is explained in the accompanying text Attach Text Variable. For more information, see Use of Text Variables.

     Authorized User: If you schedule the broadcast setting in the background (for example, for a certain time), then you can enter a BI user name manually or using This graphic is explained in the accompanying text Selection. The system generates the document with the settings (for example, date format) and authorizations of the specified user.

Note

If you want to distribute the broadcast setting immediately, the system uses the authorizations and settings for the current user that has logged on to the system and has defined the broadcast setting when generating the document.

     Language: If you schedule the broadcast setting in the background (for example for a certain time), then you can select the language in which the document is to be generated. The system offers you the choice of those languages that are installed in the BI system.

Note

If you want to distribute the broadcast setting immediately, the system uses the logon language for the current user who has logged on to the system and has defined the broadcast setting when generating the document.

     Export Document To: You can put the document in the current personal portfolio for selected users or in any other KM folder.

     Personal Portfolio: Enter the BI user names of the recipients using This graphic is explained in the accompanying text Selection, separated by semi-colons. The document is stored in the users’ personal portfolios.

If you schedule the broadcast setting in the background (for example, for a specific time), then you can generate the document user specifically. The system generates the document for each of the specified recipients with their personal settings (date format, language) and data authorizations.

Note

If you want to distribute the broadcast setting immediately, the system uses the settings for the current user when generating the document.

     Any Folder: Enter the KM folder in which the document in the portal is to be stored using This graphic is explained in the accompanying text Selection.

Note

Input help is an iView that displays the My Portfolio, CM Repository View and Collaboration Room views.

With My Portfolio the system generates a link in Knowledge Management under the user’s personal folder (/~alias~/userhome/<user.id>).

With the CM Repository View, the system generates a link in the KM folder of your choice. This KM folder must be defined as an entry point in the KM folder /entrypoints. Entry points can be links to any number of other repositories or KM folders. For more information, see Structure linkEntry Points.

The rooms assigned to a user are displayed under Collaboration Room. The rooms can be created with the collaboration functions and can be assigned to individual users or groups. The system generates a link in knowledge management under the selected collaboration room.

A link in knowledge management can be immediately visible to users if those users have access to the selected folder in knowledge management via a KM navigation iView. For more information, see Structure linkKM Navigation iView.

Portal system administrators (users with the portal role super_admin_role) are able to see the contents of the views My Portfolio and CM Repository View in the portal under Content Administration  ® KM Content. The content of the Collaboration Room view is displayed in the portal Collaboration  ® Room Directory.

The input help is restricted to one portal. The input help shows the content of the portal with the Default indicator in the Connected Portals (RSPOR_T_PORTAL) table. You can overwrite the standard portal with the parameter ID RSPOR_DEFAULT_PORTAL (SET/GET-Parameter).

                                                  i.       In SAP GUI, choose System ® User Profile ® Own Data  in the menu.

                                                ii.       In the Parameter tab page, enter the parameter ID RSPOR_DEFAULT_PORTAL and the appropriate parameter value. The parameter value is the name of the RFC destination from the Connected Portals table.

Texts

Here you can make the following entries:

     Display Name: Enter the name manually or using a text variable (with This graphic is explained in the accompanying text Attach Text Variable). The document is displayed in the portal, for example in the BEx Portfolio, under this name.

     Importance: Choose the importance (low, medium, high) that you want to store as a property of the document and display in the portal, for example the BEx Portfolio.

     Description: Enter a short content-based description of the document or select a text variable with This graphic is explained in the accompanying text Attach Text Variable. This description is stored with the document and displayed in the portal, for example in the BEx Portfolio.

You are also able to make settings in the Filter Navigation, General Precalculation or General Link Generation, Layout and Header/Footer tab pages. Depending on the selected output format, the tab pages are context sensitive.
