This function displays the business process flows that contain steps requiring specific action by the currently logged-on user.

Integration

From the Business Process Flows: My Activities screen, if you have been assigned access from the BPF template in the administration console, you can choose BPF Monitor in the action pane to see an overview of all processes. For more information on who can access the BPF monitor, see Business Process Flows: Monitor.

Completion of steps is audited by the system and appears in audit reporting. To run the audit reporting, choose Audit Report in the action pane.

Features

Business Process Flows: My Activities displays the processes and steps in which the currently logged-on user can perform certain actions. You can open a specific step region or activity and execute tasks for that step region.

Steps can have the following statuses:

  • Open: waiting for completion or to be submitted as a new step region

  • Submitted: action has been taken and the step region is waiting for review

  • Completed: the step region is fully completed

  • Reopened: the step has been reopened for further action. The previous step (or specific step region in the case of matching) must be at Completed status to be reopened.

  • Pending: the step region is waiting for an open step to be completed. Users cannot perform actions on pending step regions.

  • Rejected: a reviewer has rejected a step region action, the step region is open again for user action

  • Delayed: completion of the step region has been delayed due to the previous step being reopened. Users cannot perform actions on delayed step regions.

The owner of a step region is the person responsible for completing the step region. The reviewer is the person who must verify the actions taken in a particular step region. Owners and reviewers can be individual users or made up of a team of users. Two or more users can select the same step region concurrently, as multiple users may be involved in the completion of a step region.

  • The top table on the entry screen for Business Process Flows: My Activities displays all processes, with the data regions (BPF identifiers), completion status, owners, and whether there are actions required for those processes. When you select a process row, the bottom table displays the steps and the specific step regions for which the user is an owner or reviewer in the selected process.

  • The step regions within those steps that you are responsible for are marked with a Perform flag in the Action Required column.

    • You can select the step region that has a specific action required by you. This opens the action screen where you execute the BPF; you indicate that you have completed the actions required in that step region by choosing Complete. This modifies the status of the step region you are responsible for; other step regions in the step can remain open or pending. Users see only the step regions for which they are an owner or a reviewer.

  • If you are the responsible reviewer for a step region, you see a Review flag in the Action Required column. You can choose Accept or Reject in that step. Accept sets the step region to status Completed. Reject causes the step region to remain open until the user resubmits it for approval.

  • You can choose View Full Process to display all steps for which you are an owner or reviewer in the entire process. If you have been given access to the BPF monitor during the template creation process, you can display all steps involved in the process. Only the step regions in those steps that require action to be taken by you are accessible, all other step regions are grayed out. To return to the view of the individual step region, choose View Single Activity.

  • It is also possible to reopen steps depending on certain criteria. For more information, see Criteria for Reopening Steps.

Activities

You access the business process flows in which you have activities by choosing Business Process Flows from the tray at the top of the screen, or by selecting My Activities in the action pane.
