You use journals to record and make adjustments to data in the database. This is typically done as part of the month-end or quarter-end process. For example, administrators load general ledger information into an application using the Data Manager. Before the close, line managers can review the data and make adjustments as necessary using a journal entry form.

There are some application parameters that are specific to journals. For more information, see Application Parameters.

Prerequisites

  • A journal template has been created for the application.

  • You have the appropriate rights to perform given tasks. Contact your administrator if you have any questions.

The table below describes the available Journal tasks and explains how to perform each one. You perform most of these tasks from the Journal Manager, but if you have a journal entry open, you can perform many of them from the Journal Options action pane.

What You Should Know

Create a journal entry

From the action pane, select Enter a new journal.

For more information, see Journal Entries.

Modify a journal entry

Select Unpost journal from the action pane and select Save As Journal. Save with the new ID and post.

You can modify saved and un-posted journal entries. For more information, see Journal Postings.

Copy one or more entries

From the Journal List in Journal Manager, select one or more journal entries. Select Copy To and confirm.

You can copy selected entries to another member of one of the header dimensions.

Open one or more entries

Choose Open an existing journal from the Journal Manager.

If you open several journal entries at once, you can browse through them using the Previous and Next buttons.

To use this task, you must set the application parameter JRN_MAXCOUNT.

You open journal entries to view or edit them. For more information, see Journal Entries.

Post one or more entries

Select Post journal from the Journal Manager.

When you post an entry, the system applies the values in the journal entry to the database, so that application data is appended. For more information, see Journal Postings.

Unpost one or more entries

Choose Unpost journal from the Journal Manager.

The system reverses the original entry to the application. For more information, see Journal Postings.

Search for journal entries

Choose New query from the Journal Manager.

If a large number of journal entries are written to an application, use the Journal Manager to define queries so you can search for specific entries. The Journal Manager searches through both header and detail dimensions. If you have multiple journals, they are grouped under the first entry. For more information, see Journal Queries.

Review line item journal detail

Highlight the journal entry you want to view, and choose the >> button at the top of the screen to display the details.

You can review detail lines of a journal entry for the entries to which you have View rights. For more information, see Journal Queries.

Locking journals

Open the journal entry you want to lock and choose Lock on the Journal toolbar.

When you lock a journal, you cannot make changes to the journal entries.

Reopen journal entries

Choose Reopen journals.

To reopen one or more single journal entries to new single journal entries in a subsequent time period. For more information, see Reopen Journal Entries.

Require balanced journals

Set the application parameter JRN_BALANCE to Y or 1.

A balanced journal is one in which the debits equal the credits in the journal entry. If this option is set, you cannot post the journal entry until it is balanced.

View a report

Choose Report on journals.

You can generate reports based on journal entries. For more information, see Journal Reports.

Note Note

To use this task, users must have one or more tasks profiles related to Journals, including CreateJournal, PostJournals, ReviewJournals and UnpostJournals.

Delete one or more entries

Choose Delete journal.

When you delete an entry that has been unposted, its status changes to Deleted. When you delete saved entries, they are deleted from the system. An entry that has been posted cannot be deleted until it is unposted. For more information, see Journal Entries.

Define journal reopen translations

Choose Translation for reopening journals.

Design a template of translation information for the dimensions you want to reopen. For more information, see Journal Reopen Translations.

Note Note

In the Journal Manager, you can perform actions only on entries that are visible on the current page.
