Function documentationShortage Monitor

You can use this function to analyze the shortage situation in more detail. Data about location products and open sales orders is available to you here.

  • The Location Products View subscreen shows the current stock situation and additional key figures such as Open Quantity or Days’ Supply, with reference to the BOD entry locations of products.

  • The Sales Order View subscreen shows all open sales orders for this selection.

Note Note

If you do not want to display the Sales Order View subscreen, you can specify this in Customizing. For more information, see Customizing, under Start of the navigation path Advanced Planning and Optimization Next navigation step Supply Chain Planning Next navigation step Service Parts Planning (SPP) Next navigation step Monitoring Next navigation step Shortage Analysis Next navigation step Make General Settings for Shortage Analysis End of the navigation path.

You can also use the HIDE_SALES_ORDER_VIEW method of the Business Add-In (BAdI) BAdI: Define Logic for Shortage Analysis (/SAPAPO/SPP_SHORTAGE_ANALYSIS) to hide the Sales Order View subscreen only for specific business partners or planners. This enables you, for example, to prevent specific suppliers from viewing this subscreen.

End of the note.
Prerequisites

You have made the settings required in Distribution Requirements Planning (DRP).

Features

Location Products View

You can evaluate the following information on the Location Products View subscreen:

  • Available stock

This key figure specifies the quantity of location products that are currently available.

  • Open quantity

This key figure defines the difference between the available quantity of location products and the quantity required to extend the days' supply beyond the range defined as being potentially critical, and therefore make the status of products non-critical. For more information about how the system calculates the open quantities, see Calculating Days' Supply and Open Quantities.

  • Days' supply

This key figure specifies how long the current stock will last. For more information about how the system calculates the days' supply, see Calculating Days' Supply and Open Quantities.

  • Shortage status

The shortage status for a location product can be Non-Critical, Potentially Critical, or Critical. You define the threshold values for the various statuses in Customizing for Advanced Planning and Optimization under Start of the navigation path Supply Chain Planning Next navigation step Service Parts Planning (SPP) Next navigation step Monitoring Next navigation step Shortage Analysis Next navigation step Make General Settings for Shortage Analysis End of the navigation path.

  • Request status

If products have the status Critical or Potentially Critical, suppliers can respond to this with a supplier confirmation or can send an ASN. The system sets the request status to one of the following values according to this:

    • Open

      No supplier response is available.

    • Insufficient supplier confirmation

The supplier has confirmed the delivery date and quantity but these are not sufficient to cover the open quantity.

    • Sufficient supplier confirmation

The supplier has confirmed the delivery date and quantity. Both are sufficient to cover the open quantity.

    • Sufficient ASN

The ASN that the supplier sent fully covers the requested date and quantity.

    • Not sufficient ASN

The ASN that the supplier sent does not cover the requested date and quantity.

  • Supplier confirmation quantity in critical horizon

This key figure displays the aggregated supplier confirmation quantity.

  • ASN quantity in critical horizon

This key figure displays the aggregated ASN quantity.

  • Demand frequency

This key figure specifies the average number of monthly order items. Forecast order items for the current period (such as the current month) or order items for a specific period in the past can be used as the basis for calculating the demand frequency. You define what is used as the basis for this calculation in Customizing for Advanced Planning and Optimization under Start of the navigation path Supply Chain Planning Next navigation step Service Parts Planning (SPP) Next navigation step Monitoring Next navigation step Shortage Analysis Next navigation step Define Demand Frequency End of the navigation path.

  • Backorder items/backorder quantity

  • Sales order items/sales order quantity

  • Rush order items/rush order quantity

  • Backorder items/backorder quantity

  • Maximum priority backorder items

The system displays the maximum priority for sales orders, which contain backorder items with reference to the location product.

  • Backorder quantity/backorder items (maximum priority)

The system displays items and quantities for the respective backorder sales orders that have the maximum priority, with reference to the location product.

  • Declined ASN items

  • Old notes

  • Notes code

    • If a note is available for the location product or the sales order, and a note code has been assigned to this note, the system displays the assigned note code here.

    • If a note exists for the location product or the sales order, but a note code has not been assigned to this note, the system displays No RC.

    • If multiple notes exist for a location product or sales order, the system displays Multiple.

  • Overdue schedule lines/schedule line quantities

  • TPOP items/TPOP quantity

  • Overdue TPOP items/TPOP quantity

  • TPOP: rush order items/rush order quantity

  • Overdue TPOP rush items/TPOP rush quantity

  • Oldest due date (schedule)

  • Ship-from location

The system displays the main supplier for the location product (BOD entry locations). All data (such as sales orders) is aggregated accordingly for the combination of product, ship-from location, and customer location.

  • Several suppliers

This key figure indicates whether several external procurement relationships are available for these BOD entry locations.

  • Product groupings

The system can display up to five product groupings. You define the product groupings that the system displays in Customizing for Advanced Planning and Optimization under Start of the navigation path Supply Chain Planning Next navigation step Service Parts Planning (SPP) Next navigation step Monitoring Next navigation step Shortage Analysis Next navigation step Make General Settings for Shortage Analysis End of the navigation path.

  • Overdue order items/quantities for internal kitting

Suppliers cannot display these values since kitting is carried out internally, that is, at a location in your BOD.

  • Overdue order items/quantities for internal repair

Suppliers cannot display these values since repairs are carried out internally, that is, at a location in your BOD.

  • Overdue order items/quantities for external repair or external kitting

As a planner, you can view the overdue order items and quantities of the main supplier here.

Note Note

For more information about this data, see Shortage Overview.

End of the note.

To display the Supplier Confirmation Quantity in Critical Horizon and ASN Quantity in Critical Horizon key figures in the Location Product View subview, and the new values Sufficient ASN and Not Sufficient ASN, you must activate the SCM-APO-SPP, Service Parts Planning 1 (SCM_APO_SPP_GEN_1) business function. For more information, see SCM-APO-SPP, Service Parts Planning 1.

Sales Order View

You can evaluate the status of the selected sales orders on the Sales Order View subscreen: information about products, ship-from locations, suppliers, sales order quantity and so on is available to you with reference to the sales order and sales order item.

Activities

  1. Choose Start, or make a selection and then choose Start.

Alternatively, you have accessed the Shortage Monitor application from another application (such as the Supplier Overview). In this case, the system displays the corresponding data automatically.

  2. To perform detailed evaluations, you can navigate to the following applications from the Location Product View subscreen:

    • SPP Cockpit

    • Product Detail

    • Analyst Note

    • Advanced Shipping Notification

    • Alert Monitor

    • Supplier Confirmation

You can navigate to the following applications from the Sales Order View subscreen:

    • SPP Cockpit

    • Product Detail

    • Analyst Note

    • Supplier Confirmation

  3. In the Location Product subscreen, you can also hide for a specific time certain entries in the shortage monitor that you have noted but cannot solve at the present time. To do this, set the Seen indicator. The date in the Reset until field shows when the system resets the Seen indicator, meaning the time from which the system no longer hides the entries marked as seen, but displays them for processing again. The system determines the date in the Reset until field by taking the number of days you entered in the general settings for the shortage analysis in the field Days for resetting seen entries and adding this number on from the time the Seen indicator was set. The system deletes the content of both fields according to the following criteria:

    • The date in the Reset until field has been reached.

    • The shortage status of the location product is more critical than in the previous planning run.

To change the logic in the standard system for resetting the indicator, you can use the Business Add-In (BAdI) BAdI: Define Logic for Shortage Analysis (/SAPAPO/SPP_SHORTAGE_ANALYSIS).

For more information about the general settings for the shortage analysis, see Customizing for Advanced Planning and Optimization , under Start of the navigation path Supply Chain Planning Next navigation step Service Parts Planning (SPP) Next navigation step Monitoring Next navigation step Shortage Analysis End of the navigation path.

For more information about the BAdI BAdI: Define Logic for Shortage Analysis, see Customizing for Advanced Planning and Optimization under Start of the navigation path Supply Chain Planning Next navigation step Service Parts Planning (SPP) Next navigation step Business Add-Ins (BAdIs) for Service Parts Planning (SPP) Next navigation step BAdIs for Monitoring and Reporting End of the navigation path.
