Purpose

This component enables you to enter and manage any type of medical assistance given to an injured or sick person in your company.

Companies are obliged to record every type of first aid given and to keep these records on file for five years. Besides first aid and treatment of minor injuries, you can also document the treatment of old injuries, or aid given to persons who are not feeling well (for example, providing medication), as well as health center office hours or visits to physicians. You can also store other information such as data about a person or an event.

The various kinds of treatment are defined in the SAP System by the type of the aid given.

Personal Data

In order to use employee data such as name and personnel number in the injury/illness log, you need the SAP component Personnel Administration.

In order to use employee data such as name and address in the injury/illness log, you need the SAP component Recruitment.

Data about external persons involved and medical facilities for follow-up treatment is entered and edited in the cross-application component Central Business Partners.

Data Transfer to the Incident/Accident Log

The data entered in the injury/illness log can be transferred to the incident/accident log in the SAP Industrial Hygiene and Safety application component. The injury/illness log entry type controls the data transfer. You specify the injury/illness log entries that are to be proposed for transfer to the incident/accident log in Customizing for Occupational Health. Entries that are only relevant for the injury/illness log can thus be excluded from transfer to the incident/accident log (see Structure linkIncident/Accident Log).

If an entry is transferred to the incident/accident log, you can go directly from this injury/illness log entry to the incident/accident log entry related to it.

If the injury/illness log entry is still open, you can reset the status from Not transferred or Transferred to Not specified again. This is only possible if the environment parameter IHS_FAL_PRSTDT_FLG is set. This parameter is not set in the standard system.

A user exit is available (category: IAL_TRANSP, function module: CBIH_IA11_ENTRY) that enables you to structure the data transfer yourself - for example, by specifying the data to be transferred and the examinations to be performed.

You can use reporting in the SAP component Product Safety to ship the incident/accident log entries manually as accident reports, and also to print these reports (see Structure linkReport Shipping: Process). Standard means of communication such as letters, fax or Internet can be used to ship the reports. As accident reports contain no references to specifications, they cannot be exported from the SAP System.

The data that you can manage in the injury/illness log is as follows:

Displaying the personal data is executed as a user exit. You can therefore adapt the function to suit your requirements. For more information, see Manage User Exits in Customizing for Industrial Hygiene and Safety.

Status Management

Each injury/illness log entry has a specific status that can be switched to the next status as required. The statuses are arranged in linear order. In Customizing for Occupational Health, you can define other statuses between the In process and Closed statuses to match your requirements.

Authorization Management

To ensure that medical confidentiality is upheld, only employees with the appropriate authorization are permitted to display and edit injury/illness log entries.

Authorization management is controlled by the injury/illness log entry type (authorization object C_EHSI_FAL).

Report Information System

A link between the injury/illness log and the report information system in the EH&S Product Safety component enables you to generate and ship reports from the injury/illness log data that you have entered.

To be able to use the report information system to its full extent, you need to check, and if necessary, edit the following sections of Customizing for Product Safety.

Versioning

As of Release 2.7, you can assign a version to an injury/illness log entry. This enables you to trace important changes to the entry at a later date. A version of an injury/illness log entry is created for a key date. To see the key date on which the current version was created, choose Extras ® Administration info: Valid-from date.

To see when the injury/illness log was created, choose Extras ® Administration info: Creation date.
