When you enter the inventory count results, SAP R/3 determines the current book inventory (see Entering a Physical Inventory Count). The entered count quantity is compared with this book inventory, and the difference quantity to be posted can therefore be determined.

During the entry of the inventory count results, the system considers the planned count date if it lies in the past, in addition to the current book inventory.

The following example describes which logic the system uses to determine the book inventory for a material.

The book inventory at the end of the previous month (31.10.) is 3 PC. The book inventory on the 18.11. is 8 PC.

Creating a Physical Inventory Document

With transaction Create Physical Inventory Document (MI01) an inventory document is created on the 28.10. The planned count date is established on the same day. The Freeze book inventory indicator (data element XBUFI) is therefore not set. If you set the indicator, the system would determine the book inventory immediately when creating the physical inventory document, and not when you enter the count results; see Freezing the Book Inventory Balance).

Entering the Count Results

The count results for the physical inventory document from the 28.10. are entered with transaction Enter Inventory Count (MI04) on the 18.11. Dependently of the count date entered here (input field Count date; data element DZLDAT) the system determines the following book inventory based on the stock situation specified above:

The system determines the book inventory without considering the corresponding material documents; in other words, there is no reverse calculation based on the current stocks. Furthermore, the system determines in this case the quantity on the relevant stock level at the time of the last period-end closing.

For the stock situation described above, this means that the system determines one book inventory of 3 PC. This is the end of the previous month of material Test on the 31.10.

In this case, the book inventory is calculated from the quantity that is currently at the relevant stock level.

For the stock situation described above, this means that the system determines one book inventory of 8 PC. This is in the current period of the stock of material Test on the 18.11.
