Use

Address management is used as the central management and information function for person-related data.

You must be able to access person-related data when performing the following activities:

You can enter or display the following data groups using address management:

Report recipients are those persons or organizations to which you send SAP EH&S reports by means of Structure linkreport shipping. In incident/accident management you can enter the addresses of the workers’ compensation associations and supervisory authorities as report recipients, for example. See Creating Report Recipients.

Note

You can also send reports to office users (users of the SAP System) and customers (debtors). The data for these groups of persons is not managed in Industrial Hygiene and Safety, but in the respective applications – meaning in SAPoffice and SD. When you create a report shipping order, you can still choose office users and customers as recipients. Refer also to the Product Safety application help under Structure linkCreating Report Shipping Orders Manually.

The HR master data is managed in the SAP Personnel Administration component. In address management you can access the data relevant for Industrial Hygiene and Safety to display it.

The data is protected by an authorization concept. Make sure that employees who, for example, enter accidents or injury/illness log entries have the required authorization. For more information, see Check Authorizations for Person-Related Data in Customizing for Industrial Hygiene and Safety

The applicant master data is managed in the SAP Recruitment component. In address management you can display the data relevant for Industrial Hygiene and Safety.

Just like the HR data, this data is also protected by an authorization concept. You should therefore make sure that the required display authorizations are available.

It is possible that you might have to enter events in incident/accident management, for example, in which persons or organizations were involved that are not managed in Personnel Administration or Recruitment. To enter this type of data you can use the central SAP Business Partner component. In addition to the address data, you can also enter other relevant data there such as gender and marital status.

You can enter data on the following business partner roles in address management:

Activities

You can access address management in the Industrial Hygiene and Safety menu under Environment ® Edit addresses by choosing the object you want to display or edit, for example, Report recipient or External person.

Example

When you enter an accident, you will require the data on the employee who had the accident, the physician or hospital treating the injuries, the workers’ compensation association responsible, data on any witnesses, and so on.

As not only your employees of your company, but also employees of other companies or subcontractors can be involved in an accident or incident, you must also have the names and address data for these external persons available.

If an accident report is required, you must also make sure one is sent to the appropriate body. To do this you will need the data for the respective recipients.
