Totaling Up Budget Values in Batch 

Use

You can use this program in the following situations:

Within hierarchy maintenance, you have saved your budget data for the new year inconsistently on a lower hierarchy level and want automatically to fill all interim levels of the budget hierarchy with values.

You have made changes to your master data hierarchy posted to or budgeted and the new funds centers or commitment items are to receive a budget.

You have defined new budget objects within the budget structure and these are to receive a budget.

To improve system performance, total up the budget in background processing.

Procedure

  1. Choose Accounting ® Financial accounting ® Funds Management ® Budgeting ® Tools ® Total up.
  2. Enter an FM area.
  3. Enter a budget version.
    If you do not enter a version, the system automatically uses version 0.
  4. Choose Overall if you want to total up overall values for a fund.
  5. Choose whether you want to total up the budget values for the Budget or the Releases.
  6. Choose if you want to total up budget values of the Commitment Budget or of the Payment Budget .
  7. Choose Add new data only if the new funds centers and commitment items (or the ones which have not yet received any budget) are to receive budget but the budget values for the elements which have already received a budget are not to be changed.
  8. Start the program.

Result

When totaling up the budget values, all changes which you have made to your original budget by means of budget updates such as supplements, are not taken into account for each transaction but are entered into the original budget. If availability control is active for the specified FM area and specified fiscal year, you must reconstruct the assigned values after totaling up the budget values. For more information on this, refer to Reconstructing Assigned Values.
