Changing Budget Structures

What must you note if you are making changes to an existing budget structure?

If you have added new budget objects to your budget structure although the budget had already been allocated, you must adapt the distributed values and the budget values again after the change. The system can automatically adjust the distributed values using the program for reconstructing the distributed values. However, you must adapt the budget values manually.

For this reason, you should not make any changes to a budget structure if the budget objects have already received budget.

If you need to change the budget structure, the procedure depends on whether a budget structure was created with group assignment or not. You must carry out the following steps.

Budget structure without group assignment

  1. Change the budget structure.
  2. If you have created a budget structure with group assignments, you can only change the object function for a commitment item within the commitment item group.

  3. Reconstruct distributed values
  4. Reconstruct assigned values
  5. Adjust the budget values manually.

Budget structure with group assignment

  1. Change the group definition or change the budget structure.

You must change the group definition if:

You must change the budget structure if you want to assign a different commitment item group to a funds center.

  1. Generate the budget structure from groups.
  2. Reconstruct distributed values
  3. Reconstruct assigned values
  4. Adjust the budget values manually.

The example of changing the budget structure illustrates the changes which the system makes to the data by reconstructing the distributed values and how you have to proceed to adjust the budget values.
