Allocating the Budget 

Use

You can enter the budget value values for the different budget types (e.g. original budget, supplement) top-down or bottom-up either for the Commitment Budget or for the Payment Budget .

If you are working with funds and Overall Values you can also enter overall values for the CB or the PB.

Prerequisites

If you want to enter budget values for the commitment budget, the appropriate update profile (000350) must be assigned to your FM area in the Funds Management Customizing. For more information on the different update profiles, see Update Profiles .

If you want to enter overall values, a budget profile must have been created for overall values (in the Funds Management Customizing) and this must be assigned to the fund which you want to budget. For more information on the budget profile, look at the Funds Management IMG documentation under Setting Budget Profiles

Top-Down Budgeting

  1. Choose Accounting ® Financial accounting ® Funds management ® Budgeting ® the appropriate budget type ® Commitments for the CB or payments for the PB ® Change.
  2. Enter both an FM area and the required data on the initial screen.
  3. You can enter a particular budget version. If you do not enter a version, the system automatically uses version 0.

    If you do not want to edit the whole funds center and commitment item hierarchy, you can enter a funds center and commitment item from which the hierarchy is to be built up. In addition, you can Restrict the Levels.

  4. Choose Continue.
  5. You reach the Budget Allocation screen. You see an overview of the funds centers, together with a top commitment item, per the initial item you chose. You can further expand the commitment item hierarchy by double-clicking again.

  6. Distribute the available budget to the individual budgetable elements.
  7. Check your budgeting.
  8. You can use the View menu to choose what value is displayed in the column next to the annual values column. Possibilities include the distributed value or the budget values from the previous year.
  9. Save your budgeting.

Bottom-Up Distribution

Proceed as described above when allocating budget according to the bottom-up principle. If you have specified the number of hierarchy levels or if you do not want to work with the whole hierarchy, choose to enter the hierarchy in subordinate funds centers and commitment items.

Then distribute the budget in the lower hierarchy levels. Choose Edit ® Total up to total up the budget values. For more information, see Totaling Up Budget Values .

Enter overall values

In order to allocate overall values, you proceed as described above. However, enter a fund on the initial screen.

On the budget allocation screen, the heading Overall then automatically appears in the middle column. You can enter overall values in this column.

If a budget profile is assigned to the fund, which allows you to enter overall values and annual values , you can also enter annual values for this fund via Goto ® Annual values.
