Deleting Unused Entries in the Proposal Pool 
Use
You can use the Where-used list function in Proposal Pool Administration to refresh the usage counters in the proposal pool according to the current usage in the system and at the same time either delete or calculate the volume of unused entries (in other words a source language and target language pair) in the proposal pool.

The source text Buchungskreis 1 is translated as Company code 1. Both source text and target text only occur once in the system. This source text is subsequently changed to Buchungskreis 2 which is then translated as Company code 2. The source and target language pair "Buchungskreis 1/Company code 1" thus becomes an unused entry in the proposal pool, as both source text and target text are no longer used in the system.
You can also use this function to see when the where-used list data was last refreshed. The date is displayed on this screen next to Refresh where-used list under Reorganization / last execution.
Prerequisites
Before you delete any unused entries or texts, you should perform a safety export of unused entries in the proposal pool using Partial export of all unused entries as the Export mode. This will enable you to retrieve any entries that you may delete unintentionally. For more information, see
Exporting the Proposal Pool.It is a good idea to select the option Refresh of usage counters in the proposal pool, in order for your calculation/deletion to be based on the most up-to-date usage counter information.
Procedure
If you have not yet performed a safety export of unused entries and you have selected Delete, a warning message appears, recommending that you make a backup of unused entries before you schedule the deletion run. Choose Sched. export to make this backup now. The system takes you to the export function where the export mode Partial export of all unused entries is automatically selected. If the message No inconsistencies were found appears, you can schedule the run.
The system displays the dialog box Start Time which offers you further selection options.
You can also schedule the run to start after a particular job or event, by choosing After job or After event.
At operation mode refers to daytime or nighttime operation.
The system displays a dialog box in which you can enter the name of a printer for the output of the log.
The system displays a dialog box in which you can enter a background server on which you want the job to run.
The system asks you if you want to schedule the job. Choose Yes.
Result
The job is run in the background. You can check its progress by choosing Run administration. When the job is finished you can view the number of unused entries by selecting your job from the Job Overview screen and choosing Display spool list ® Display contents.
