Confirming the Initial Sample

Use

When you receive the initial sample in the laboratory for testing, you must confirm its receipt. To confirm the initial sample, you execute a corresponding follow-up function in the action box. This causes the system to automatically:

  • Confirm the physical-sample drawing

  • Change the physical-sample record for the initial sample (a change document is created)

  • Release the initial sample (a corresponding status is set in the physical-sample record)

You can only confirm the receipt of the initial sample once.

Note Note

If a digital signature is required to confirm the physical-sample drawing, the system will prompt you accordingly when you confirm the initial sample.

Confirming the initial sample is a prerequisite for recording inspection results during the initial test. You can, however, already plan and prepare the initial test after you have created the initial sample (regardless of whether or not you have confirmed the initial sample).

When you confirm the initial sample, the action is documented as a task in the quality notification.

Prerequisites

You have completed the following activities:

Procedure

  1. From the SAP Easy Access menu, choose Start of the navigation path Logistics Next navigation step Quality Management Next navigation step Stability Study Next navigation step Stability Study Next navigation step Change End of the navigation path .

  2. The initial screen for changing a stability study appears.

  3. On the initial screen, enter the key of the stability study you want to process and then choose Enter.

  4. The screen for changing the stability study data appears.

  5. In the action box on the right side of the screen, choose the follow-up function Confirm Initial Sample .

  6. A dialog box for confirming the initial sample appears.

  7. In the Confirmation group, enter data for the following required fields:

  • Primary Packaging

  • Sample Quantity

  • Unit of Measurement

  1. Check to make sure the date of receipt is on or before the date of confirmation.

The system always proposes the current data as the date of receipt. Use the date of receipt to record the date that you received the initial sample. The date of receipt cannot lie in the future (that is, after the date of confirmation).

  1. If desired, enter data for the following optional fields:

  • Physical-sample container

  • Storage Condition

  • Storage Location

  • Short Text

  • No. of Labels

  1. Choose one of the following options in the dialog box, depending on how you want to proceed:

  • Release Initial Sample, Save/Exit Notification

  • Release Initial Sample, Save/Change Notification

Result

The receipt of the initial sample has been confirmed and the status of the corresponding physical-sample record is set to Released .

You can now proceed with the initial test , the next phase of the stability study process.
