OU-Related Document Profile
You can use this function to assign the document categories to an organizational unit, which will usually use these. In addition to the standard functions, such as the transport connection, table comparison, BC sets and time restrictions, further additional functions are offered.
Table maintenance is institution-specific and is performed in a two-level dialog in the navigation tree.
Any number of document categories can be assigned to an organizational unit.
Caution
Validity periods for the document categories must lie within the validity period of the organizational unit.

From the SAP Easy Access
menu you can access the initial screen for maintaining the assignments of document categories to organizational units via
Here you enter the organizational units (OUs) for which a document profile is to be created or edited. You can copy existing OU profiles with all their properties.
Here you receive a list of the document profiles of the selected OU.
Here you assign document categories and the corresponding profiles to the selected OU.
Here you can see the OUs which use the selected combinations of document category and document profile.
You can assign entries from the OU-related document profile to other OUs. Select the corresponding document category assignments and select Assign Documents. You then select the OUs to which you wish to assign these document categories, in the same way. In addition, you can determine the period of validity for the document category assignments to be created. This entry is optional.
During the assignment process, the system transfers all attributes of the selected document category assignment to the new document category assignment, for example, document profile and validity specification.
Note
You should note that this function only creates new assignment; it does not overwrite existing assignments.
You can simultaneously schedule assignments for all OUs. Select the corresponding document category assignments and select Schedule Documents
.
Enter the end of validity. The system will then schedule the assignment for all OUs with the highest Valid To date.
Note
Note that only the stored dataset is analyzed during evaluations. You should therefore save your changes before continuing processing.
If you wish to use the transport connection and comparison options, you should ensure that the assigned document categories exist on the target system.
Vno
Here, you enter the version number of the document category that you wish to assign. Unique identification of a document category is only guaranteed if the institution, label and version number are all specified. When you select a document category in the input help, the system will transfer the version number.
Valid From
Validity date from which the relevant document category is assigned to the organizational unit. Future assignments can also be entered.
Note
If you must enter differing periods of validity for a document category, you must ensure that these periods do not overlap.
Seq.
The Seq. field contains the sequence number. You can use this to weight document categories with regard to their use within an organizational unit. As a result, you achieve preferential control of the prioritized document categories in service or case processing. You should use Seq. ´01´for the document category which is used most often, and Seq. ´99´ for the document category which is used only rarely.
