In the appointment template, you can define, for the order item of a clinical order, where (organizational unit (OU) and room) and when (desired appointment) the initiator wishes this appointment to take place.

Depending on the surgery or treatment to be performed, this can be a surgery room which contains special equipment, or a specific treatment room.

If you enter a service in the order item, the system will propose a room as a template for the surgery/treatment appointment.

With the entry of the planned duration, you can determine how many minutes the surgery/treatment to be planned should last, before planning the appointment.

If you enter a service, the system will propose a duration. The duration is the sum total of the preparation time, treatment duration, and follow-up time. You can then only enter a service if you have selected a corresponding order type in the order type selection list. The system administrator executes the definition of the order types.

The service facility will see this information in the view of the Outpatient Clinic/Service Facility view type and can take this into account when planning appointments.

In the appointment template you can enter the dependencies between order items and corresponding appointment dependencies for joint planning.

If you have already defined these dependencies in customizing, the system will preset them in the appointment template. See Other Tab Page

Appointment templates are only valid as long as no appointment has been made.

Prerequisites

In order for the system to propose a room, this room must be entered in the service range of the organizational unit (OU) to which the order is addressed.

The input help for the field for the room displays all rooms primarily and secondarily assigned to the OU of the appointment.

System administration must have entered the duration in the master data of the services.

If the system administrator has not entered durations for the services, the anchor service, at least, must have a duration. In this case, the system will propose the duration of the anchor service.

The desired date, the desired time, and the scheduling type can be preset. The system administrator must have configured the Business Add-In (BAdI) at Start of Clinical Order Dialog.

Procedure

  1. To enter or change an appointment allocation, choose Change Appointment Template (Change Appointment Template) in this order item.

    You will access the Change Appointment Template dialog box.

  2. You enter the data required:

    • Desired Date or Desired Month

      For the desired month you can specify, for example, whether you want the appointment at the start of this month.

    • Desired Time

    • Appointment OU

      The system presets the appointment OU with the treatment OU of the order item.

      You can overwrite the appointment OU. The input help is available for this purpose.

    • Room

      The system proposes a room from the service range of the OU to which you are addressing the order.

      You can overwrite the proposed room.

      Note Note

      If you order the patient for a treatment in an outpatient clinic/service facility, you select the room from all the rooms that have been assigned to the outpatient clinic/service facility.

      If you order the patient for a surgery (order type for surgery), you select the room from all rooms that have been assigned to the surgery service facilities in your institution (surgery service facilities are the OUs whose OU or OE_TYP parameter has the value OP).

      If you plan a surgery/treatment appointment for the preregistration, the system will replace the given room with the room that the appointment was booked for.

    • Duration

      The system proposes a duration from the master data for the service. If the services do not have a duration, the system proposes the duration of the surgery anchor service for a surgery.

      If you enter several services, the system proposes the duration that is the longest among the entered services for the preregistered order item.

      You can overwrite the proposed duration.

      The system presets the duration for which an appointment should be found in the search dialog for each individual service:

      1. The system presets the total duration (sum of preparation time and clean-up time and the treatment duration) from the Med. Indicators tab page in the service master data.

      2. If these durations are not maintained, the system presets the duration with the value which is specified in the Service-Based Appointment Search group box on the Other tab page.

      3. If this duration has not been defined either, the system presets the value for the duration from the appointment template of the clinical order.

      Example Example

      You enter three services. Service 1 and service 2 have a duration of 30 minutes according to the surgery master. Service 3 has a duration of 60 minutes. The system enters 60 minutes into the preregistration as a template.

    • Dependencies group frame

      Enter the dependencies between order items and corresponding appointment dependencies for joint planning.

  3. The system indicates manually changed data using man changed (man changed). You can reverse the manual entry by choosing the icon with the quick info Standard Configuration. The system will reset all manual entries to the proposal values.

    If the system has preset appointment dependencies between order items from the order type, and you have changed these, the system will also reset these to the proposed values.

  4. Confirm the appointment templates by choosing Continue (Continue).

Result

You have created an appointment template. Provided that no appointment is booked, you can call and change the appointment templates again at any time.
