Correction of Sales Figures

Use

You can use these functions to correct and check the sales figures for media issues that are no longer on sale and can no longer be returned, according to the actual quantities sold. If the sales figures are affected by an event, you can divide the quantity of each media issue and contract item actually sold into the corrected sales quantity and verified event quantity.

You use the function for correcting sales figures to clear differences between the planned sales quantities and the quantities actually sold. Differences can arise in the following cases:

  • Planned events, of which you are aware before outbound delivery

You correct the sales figures according to the actual sales quantities and reconcile the verified event quantity with the planned event quantity.

  • Unforeseen events, of which you become aware after outbound delivery

The actual sales quantities are affected by an unforeseen event (for example, a snowstorm). You correct the sales figures by correcting the sales quantity and assigning the verified event quantity to an event.

  • Inaccurate forecast of sales quantities

You use the function for correcting the sales figures to clean up the sales history for the forecast by assigning verified event quantities to events. This defines which quantities actually sold have been influenced by an event. This enables you to further refine your planning.

Prerequisites

  • You have completed the sales and return process for the media issue. This means you will not be creating any further orders, deliveries, or returns for a media issue whose sales figures you are correcting.

  • Before you can process the corrected sales figures, you must initialize the correction. To do this, choose Start of the navigation path Logistics Next navigation step Media Sales and Distribution Next navigation step Press Distribution Next navigation step Sales Planning Next navigation step Events Next navigation step Correct Sales Figures Next navigation step Initializationon theSAP Easy Accessscreen End of the navigation path .

  • You have made the settings in Customizing for Press Distribution under Start of the navigation path Sales Planning Next navigation step Events Next navigation step Correct Quantities Sold Next navigation step Define Rules for Calculating Corrected Sales Figures End of the navigation path .

  • Before you can calculate the corrected sales figures during initialization without specifying a rule, you must specify the rule for calculating the corrected sales figures in the sales planning profile for the media product. To do this, choose Start of the navigation path Logistics Next navigation step Media Sales and Distribution Next navigation step Press Distribution Next navigation step Sales Planning Next navigation step Control Data Next navigation step Edit Planning Profile for Media Producton theSAP Easy Accessscreen End of the navigation path .

    Note Note

    End of the note.

Features

The following functions are available for editing the corrected sales figures:

Execute Selection

You can restrict selection of the media issues whose sales figures are being corrected. When you execute selection, the system displays a hit list of the media issues in the Media Issues screen area, containing the following data:

  • Media issue attributes (for example, publication date and copy number)

  • Number and status ( verified or not verified ) of the events assigned to the media issue

  • Media issue text from media issue worklist

Select Media Issue for Correction of Sales Figures

To correct the sales figures, you can double click on a media issue in the Media Issues screen area to select it.

Edit Media Issue Texts

You can enter simple texts as comments on media issues. In the Media Issue Texts in Worklist column in the Media Issues screen area, the system indicates as follows whether or not texts exist:

  • White text symbol: there is no text for the media issue

  • Green text symbol: there is a text for the media issue

Double click on the symbol to edit a text.

Assign Contract Items to an Event

If the quantities actually sold are affected by an unforeseen event, you can create a new event or select an existing one for this purpose. You can assign the quantities actually sold to this event using the verified event quantity.

The following functions are available in the Contract Items screen area on the Overview of Sales Figures tab:

  •   Create Event

To create a new event for the media issue whose sales figures you are correcting, you choose the symbol with the quick info text Create Event . For more information, see Processing Events . If you create and copy an event when correcting the sales figures, the system assigns it to all the contract items.

  •   Select Event

You select one or more contract items and choose the symbol with the quick info text Select Event. The system assigns the selected contract items to the selected event to correct the sales figures.

Once you have assigned the contract items to an event, you can edit the corrected sales quantities and verified event quantities - that is, the corrected sales figures.

Edit Corrected Sales Figures

You can edit the sales figures as follows on the Overview of Sales Figures tab:

  • Manually: check and verify

  • Calculate automatically using rules

The quantity actually sold can be influenced by an event. This means you can subdivide the quantity actually sold as follows in the Contract Items screen area:

  • Corrected sales quantity

This is the quantity sold that was not affected by an event.

  • Verified event quantity

This quantity is influenced by an event and represents the difference between the actual quantity sold and the corrected sales quantity.

    Note Note

The system indicates whether a contract item is assigned to one or more events in the Number of Events Assigned column. To view details of the events for a contract item, select an item in the Number of Events Assigned column. The system displays details of the events for the selected contract item in the Events for Contract Items screen area.

    End of the note.

If you have assigned more than one event to a contract item, you can again distribute the verified event quantity for the contract item among the assigned events in the Events for Contract Items screen area. To do this, specify how the system is to distribute the verified event quantity for the contract item among the events in the Weighting of Sales Figures column. The weighting defines how strongly the events influenced the sales quantities. You can use the Calculate function to determine the verified event quantities for each event according to the weighting factors you specified.

Example Example

If one event affects sales of a media issue twice as strongly as another event, you enter the weighting factors 2 and 1 for the two events.

End of the example.

To have the system calculate the corrected sales figures automatically , choose a rule from the Calculation dropdown list in the Contract Items screen area. The system calculates the corrected sales figures for all contract items. When calculating the corrected sales figures using a rule, the system provides you with the data for the quantity planning records, the events, and the sales key figures in the implementing class for the rule.

You can also execute calculation of the corrected sales figures as a report in background processing.
