Settings for Printing Shop Papers

Purpose

This process describes which settings you have to make to be able to print shop papers for notifications and orders. The shop papers are SAPscript forms. The standard system includes standard forms, the layout of which you can adapt to suit your needs.

You make all the required settings in Customizing:

  • For shop papers in Plant Maintenance and Customer Service, choose Start of the navigation path Plant Maintenance and Customer Service Next navigation step Maintenance and Service Processing Next navigation step Basic Settings Next navigation step Print Control End of the navigation path to make settings for both object types. Enter the application area N for notifications and O for orders.

  • For shop papers in Quality Management, choose Start of the navigation path Quality Management Next navigation step Quality Notifications Next navigation step Notification Processing Next navigation step Print Control End of the navigation path.

Prerequisites

You have set up a printer in the SAP system. For more information, see Defining an Output Device for Front-End Printing.

Process Flow

  1. Define the shop papers and their layout.

To do this, choose Start of the navigation path Print Control Next navigation step Define Shop Papers, Forms and Output Programs Next navigation step Define Shop Papers End of the navigation path.

    Note Note

If you have activated the business function Enterprise Asset Management Part 7 (LOG_EAM_CI_7), you can select the checkboxes Print Before Release Allowed and Print After Completion Allowed in this Customizing activity to allow printing of shop papers for orders that have the status created or technically completed, for example. For more information, see Preprinting and Reprinting Maintenance Orders.

    End of the note.
  2. Define which shop papers should be proposed when printing takes place.

To do this, choose Start of the navigation path Print Control Next navigation step Define Shop Papers, Forms and Output Programs Next navigation step Assign Permitted Shop Papers End of the navigation path.

  3. Define the user-specific print default values.

By doing so you define for each user which shop papers are to be printed and how:

    • On a printer

The shop paper is printed on a printer that has been defined by administrators.

    • As a fax

For this option, enter the country key and the fax number.

    • In the optical storage system ArchiveLink

In this case, shop papers are archived on optical disks.

To make these settings, choose Start of the navigation path Print Control Next navigation step Define Printer Next navigation step Set User-Specific Print Defaults End of the navigation path. These settings are default values and can be changed when you print.

  4. Activate the print diversion for notifications and orders.

You use the print diversion to define special printers and print parameters for specific shop papers in accordance with the values in specific fields.

To do this, choose Start of the navigation path Print Control Next navigation step Define Printer Next navigation step Define Print Diversion End of the navigation path and the next step Print Diversion According to Field Contents.

  5. Activate the delta printing for orders.

This means that only those operations or components can be printed that do not yet have the status Printed.

To do this, choose Start of the navigation path Define Shop Papers, Forms and Output Programs Next navigation step Define Shop Papers End of the navigation path. Enter the application area O for orders.

  6. For testing, you can activate printing in online mode.

To do so, choose Start of the navigation path Print Control Next navigation step Activate Printing in Online Processing End of the navigation path.

When you activate online processing, all the shop papers from the dialog program are printed and not those from the update program. The settings that you make are valid for the entire client.

You should use printing in online mode only for test purposes, for example, when you are programming your own print programs.
