Creating a Survey and Defining a Target Group
Use
You create a survey in order to create a framework to which you can assign one or several target groups as well as one or several questionnaires. You can use the possibility to assign both several target groups as well as several questionnaires for the following purposes:
-
You can carry out a test survey with a small group of interviewees to determine if there are problems with understanding or acceptance regarding your questionnaire design. Based on the results of this first questioning, you revise your questionnaire and then send this to the actual target group of your survey. The evaluation group "survey" of the Web Survey forms the general point of reference of all target groups and all versions of questionnaires that are relevant in connection with a specific survey.
-
You carry out one survey that at the same time is directed towards target groups that are clearly differentiated from each other. An employee survey could deal with workers, salaried employees, and executive employees; A customer survey could be used to compare the target group "corporate customer" with the target group "private customer". The difference of the target groups can mean that you must create a specifically prepared questionnaire for each target group to get sensible results. You bring together all of these target groups and questionnaires in the context of one survey in the Web Survey.
In addition to the manual combination of recipients, the Web Survey component offers different methods for the reuse of target groups that are defined once in order to define a target group. You can find more detailed information on this further below in this section.
Prerequisites
You require a valid e-mail address for every member of the target group in order to be able to define the necessary target group for use within the Web Survey.
Procedure
Creating and Editing a Survey
-
Enter the transaction code SURVEY to start the Survey Cockpit.
The Overview of Surveys screen appears.
-
Choose to create a new survey or open one of the existing surveys by double-clicking on the appropriate list entry.
You get to the Change Survey: <Name of Survey> screen..
-
Make a decision with regard to the questionnaire that you want to assign to the survey:
-
If you have already defined a questionnaire that you want to assign to this survey, choose
in the right screen area. The system displays a list of all existing questionnaires from which you can select the desired questionnaire by simply clicking on it. The system assigns the questionnaire you selected to the survey.
-
If you are creating a new questionnaire and want to assign the survey, choose
in the right screen area. The Create Questionnaire: New Questionnaire screen appears. For more information, see Creating a Questionnaire.
-
-
To evaluate the data collected with the survey in the context of a specific SAP application, choose .
This step is optional and only possible in systems where appropriate libraries are available. You find out whether such an evaluation possibility exists in the documentation of the SAP applications that include the Web Survey component application-specific.
-
Save the survey.
The system requests that you enter a Name and an ID when saving a new survey. You can change the name later if required.
The system saves the following data in connection with a survey:
-
Survey name
-
Target group hierarchy
-
List of assigned questionnaires
-
Assigned application library
-
Define Target Group Hierarchy: Add Recipients Individually:
-
Open the desired survey in change mode.
-
In the context menu of the New Target Group Hierarchy entry, choose
in the upper left screen area. -
Specify the recipient by making a suitable entry in the lower left screen area. You can proceed in one of the following ways:
-
Enter the identification number of a business partner (from the SAP Business Partner application).
-
Enter the user name of a system user.
-
Enter the e-mail address in the case of a recipient who does not belong to either of the groups named above.
-
-
Enter the name of the recipient.
-
Repeat this step for each recipient that you want to include in the target group.
Define Target Group Hierarchy: Copy Available Target Group
You can transfer the target group hierarchy that you have used for another survey into any other survey. To do this, follow the procedure below:
-
Open the desired survey in change mode.
-
Choose .
The system displays a list of all existing surveys from which you can select the desired survey by clicking on it. The system replaces the target group hierarchy of the current survey with the one of the survey you selected.
Define Target Group Hierarchy: Import Target Group from File:
You can export the target group hierarchy of a survey into a file and then import it later into any survey. To do this, follow the procedure below:
-
To export a target group hierarchy of a survey into a file (to import it later), choose .
The system displays a file selection dialog.
-
Enter the file name and if necessary select the target directory.
The system saves the file in XML format. If you have only entered one file name (and no file name extension) the system automatically adds the extension .XML to the file name.
-
To import the target group hierarchy of a survey from a file, choose .
The system displays a file selection dialog.
-
The system displays a file selection dialog. Enter the file name. If necessary, first choose the directory in which the file is stored/saved.
The system imports the recipients from the file and transfers them as the target group hierarchy of the current survey.
Example
In our example scenario "survey for employee satisfaction" it is suitable for the definition of the target group to transfer the employee data from the organizational structure of the SAP Personnel Administration. An appropriate application library is necessary that extracts the required data (above all the e-mail addresses) from the organizational structure and transfers it to the Web Survey component. Choose to select one of the available application libraries. The further process complies with the specific conditions in the application library you selected.
