Creating a Batch Control Record

Use

Use this to create a batch control record for manual journal entry.

Before you create a manual journal entry, you first have to create a batch control record. Whenever you want to manually enter journal entries in JE, you first have to set up the batch control information, and then create the manual journal entry detail information for that batch. You use batch control to set up a batch for manual processing, to which detail information will be added in a subsequent step (see: Entering Journal Entries Manually ).

You use this to approve and select journal entry batches for processing. Control totals are used to ensure that data has been entered correctly and that all the proper accounting procedures have been met before a batch can be selected for processing.

A batch may be changed or deleted only if its status is “work unapproved“.

Procedure

  1. At the SAP Easy Access menu, choose Logistics → Production and Revenue Accounting → Revenue Accounting → Journal Entry → Document Entry → JE Batch Control.

    The Batch Control: Initial Screen is displayed.

  2. On the Batch Control: Initial Screen, select Create.

    The system now displays the Batch Control – Create screen.

  3. Enter the relevant company (in the Company field) to which the journal entry will be posted. Enter the relevant accounting period (in the Accounting Period field) for the manual journal entry batch, as well as the total amount ($) that the manual journal entry batch will represent (you enter that in the Debit Amount field).In the Number of entries field at the bottom of the screen, enter the total number of detail entries you plan to enter on the JE Detail screen (Manual Journal Entry screen). In the Statistical Amount field, enter the number that you would like to enter as “statistical”. In the Type field, enter the type of batch that you would like to create. (The Calculated column will display the total amounts that have been entered at the JE Detail level in that step).

  4. Choose Save .

  5. The system will now assign a batch number to this batch (the system finds the next sequential batch ID number and uses it). The system-generated batch ID will now be displayed in the Batch ID field.

The Copy/reverse dialog box allows you to create a new journal entry batch or to reverse the current batch.

Result

The batch control data is created for manual journal entry. You can now enter the detail information for the batch on the JE Detail screen.
