Implementing a GB FlexBens Personal Computer Plan The process of implementing a Personal Computer Plan (PC plan) differs in many respects from the implementation process required for many other Flexible Benefits plans, as a PC plan is usually a two- or three-year commitment. This makes it different from the vast majority of Flexible Benefits plans which have only a one year validity period, corresponding to the benefits year of the organisation in question.
Therefore, you must implement the Personal Computer Plan in a different way to the other one-year benefits plans. In
Flexible Benefits for Great Britain
(GB FlexBens), there are two possible ways for you to implement your PC plan:
Personal Computeradjustment reason. In GB FlexBens, the adjustment reason is also referred to as a
life event.
PC plan enrolment via an adjustment reason is totally separate from the annual (open) enrolment process.
SAP strongly recommends that you use this first method to implement your PC plan.
This is not the SAP-recommended solution.
In contrast to the standard annual enrolment process, SAP recommends you assign a separate adjustment reason for each employee who is eligible for a PC plan. Critically, you must ensure that all benefit plans under one adjustment reason have the same benefit plan validity period. This is configured in advance.
Therefore, because a Personal Computer Plan normally has a non-standard validity period (for example, two or three years) and is not enroled on an annual basis, an individual adjustment reason for specific Personal Computer Plans must be configured in such scenarios.
If you follow this recommended solution, employees will only be allowed to re-enrol in a new PC plan at the end of the plan validity period, for example, after two years. Your Benefits Administrator must monitor this plan end date, and he or she will not be able to assign a new personal computer adjustment reason during this validity period.

Many PC plan providers now require organisations to submit lists of newly-enroled employees in PC Plans on a quarterly basis only. This has important implications when you generate adjustment reasons for your employees.

If you want to offer a PC plan to your employees within the annual (open) enrolment process, you must configure this plan using the following
Benefits Administration

In this step, you set the validity period in months, for each of your miscellaneous plans, including the PC plan. You must assign a validity period for each miscellaneous plan available before employees enrol in miscellaneous plans during annual (open) enrolment.
For the majority of your Flexible Benefits plans, you will maintain a plan validity period of 12 months. However, it is likely that the plan validity period for a PC plan may be two or even three years. In the above IMG step, you must set this non-standard validity period for the PC plan.
If you set a validity period greater than 12 months, for example 36 months, when an employee enrols this plan in the first year, it will be enroled with a 3-year validity period. During annual (open) enrolment for the following two benefits years, an employee will only be able to view the details of his or her PC plan, and will not be able to change it or re-enrol another PC plan until the current plan validity period of 36 months has elapsed.
You customise a PC plan with a validity period of three years, and include your PC plan in the annual (open) enrolment process. When an employee enrols a PC plan, the GB FlexBens system creates an infotype
Miscellaneous Plans
(0377) record with your specified plan validity period.
More specifically, annual (open) enrolment takes place for the upcoming benefits year from April 1 2005 to March 31 2006 . An employee enrols a PC plan and his or her infotype 0377 record is updated to store this plan with a validity period from April 1 2005 to March 31 2008 . When the employee enrols his or her benefits plans in the next two benefits years, he or she will only be able to display the PC plan and not make a new selection until the 2008 benefits year.
This alternative implementation method for PC plan is solely to enable you to include a PC plan with a non-standard validity period in the annual (open) enrolment process.
However, SAP recommends that you set up PC plan enrolment for your employees as a separate event using a personal computer adjustment reason.
All eligible employees are successfully enroled in a Personal Computer Plan with a non-standard plan validity period.
