Electronic Bank Statement in RE-FX

Use

Electronic account statement entry includes the following functions:

  • Importing electronic account statements

    Returned debit memos are automatically processed as part of this process, if you made the settings for this in Customizing (see Prerequisites).

  • Assigning incoming payments (postprocessing the account statement)

    Here you can correct errors in the note to payee, find the contract that the payment belongs to, and post documents.

In standard Financial Accounting (FI) these functions operate using a search for a document number or a reference document number of the open item or the returned debit memo; for incoming payments in Flexible Real Estate Management (RE-FX) they use a search for a contract number.

Integration

The electronic account statement function of Financial Accounting is integrated in Flexible Real Estate Management . One function of the electronic account statement is postprocessing of account statements, which is an FI function.

Processing Returned Debit Memos:

You can enter separate account determinations in Customizing for returned debit memos and the fees involved.You can also specify if the clearing of the original item is reversed and if data of the original document is changed. To do so, you have to implement a BAdI that determines the fee for each individual customer or bank.

This special processing in Flexible Real Estate Management is handled using Business Transaction Events. Using this tool, the system determines the contract number from the original item and transfers the contract number to the item being newly posted.

You need to make Customizing settings to be able to use this processing of returned debit memos (see Prerequisites). Once you make these settings, the process runs automatically, so that no additional manual processing is needed.

Features

Account statement entry is divided into four steps:

  1. File import

    Here you import the data of the electronic account statement. Different file formats are supported (such as MultiCash or DTAUS)).

  2. Analysis of the note to payee for each line item

    To assign incoming payments, standard Financial Accounting performs a search for a document number or a reference document number of the open item. Tenants, however, do not usually know the document number, so they enter the contract number in the Note to Payee field. For this reason, you enter an interpretation algorithm that is specifically for Real Estate in Customizing. The system then searches for the contract number in the Note to Payee in RE-FX.

  3. Using the Postprocess Account Statement function, you can correct errors in the note to payee, such as typing errors in numbers, and identify RE-specific payments (see Activities).

  4. Making the corresponding postings

    If the incoming payment could be assigned to a rental agreement, the system now searches for the open items of the customer for that rental agreement. In Customizing you specify how the system handles open items during clearing.

    If the postings were made using a batch input session, then you have to correct the data in that session. In that case you cannot use the Postprocess Account Statement function.
