Collaborating with Other Users on Pages

Use

In the default system setting, wiki pages that you publish can be viewed and changed by all users. You can read and change the pages of other users and they can read and change your pages. Users can include comments for their pages and you can include comments for the pages of other users.

You can also define more precisely how you collaborate on your page with other users.

Procedure

Defining Options for Collaborating

You can define the options for collaborating with other users when you create a page and you can change these options at any time. Only the author of a page (and the administrator) may define the Collaboration Options.

Once you have saved a page, you can change these options at any time by choosing Manage c ollaboration in the Actions box.

  1. At the end of a newly created page, choose Collaboration Options or choose Manage collaboration in the Actions box.

  2. Define which users may edit your page.

    By default, all wiki users are authorized to edit your page. You can restrict the set of users who may edit your page by entering certain users as co-authors. You can define these users in the Specific Users field in Start of the navigation pathCollaboration Options  Next navigation step Users who may editEnd of the navigation pathsection. They can see and modify the draft of a page when the page is still not published.

    You can also define that only you may edit the page.

  3. If you want certain users to review and approve a page before it is published and visible to other users, enter the names of these users in the Users who must approve for publication field in Collaboration Options. For more information, see Approving Wiki Pages.

  4. In the Comment Policy section in Collaboration Options you can decide how comments should be handled in your page. There are three options from which you can select:

    • Open - comments are allowed

    • Closed - existing comments will be displayed, new comments are not allowed

    • None - comments will not be displayed and new comments are not allowed

    The comments are not version dependent.

  5. If you want certain users to visit directly your document without navigation, you can choose Copy Document Link in the Actions box, and then copy the document link from the dialog box. In this way, you can send the direct link to the users with authorization to this document.

Collaborating on Pages as a Co-Author

If you are named as a co-author by another user, you can also edit the page.

  1. Choose Start of the navigation pathMy Stuff  Next navigation step Pages.End of the navigation path

    In your pages you also see all the pages for which you are a co-author.

  2. In the Actions box, choose Edit page.

  3. Under Author Discussion section you can write comments for the other authors. This feature is only available when a draft exists for the page and only specific users are allowed to edit the page.

  4. Edit the page and save it. You can publish it if approval is not required.
