You can retire a record by perishing, loss, or deterioration using two different processes, depending on your needs. See the section below for details about each process.

Process

To retire a CIAP record by perishing, loss or deterioration, you must manually execute the Display CIAP Records Data and perform the following tasks:

  1. Select the relevant CIAP record.

  2. Select the Retirement pushbutton.

  3. Select either the Retirement - Outgoing NF option or the Retirement - Police Report option.

If you choose the Retirement - Outgoing NF option, the following process takes place:

  1. You enter the outgoing nota fiscal number or the internal document number.

  2. If you have activated the partial retirement option for that specific business place, the quantity and the unit of measure fields are available to inform the quantity to be retired, otherwise, the system retires the total quantity.

  3. The system links the CIAP record to the specified nota fiscal.

  4. The system changes the status of the record.

  5. The system posts the remaining balance of ICMS to be credited in the original G/L account.

  6. The system creates a quota with SI status and with no value, and another quota with OT status to be posted to SPED EFD.

If you choose the Retirement - Police Report option, the following process takes place:

  1. You enter the police report data in the text field.

  2. If you have activated the partial retirement option for that specific business place, the quantity and the unit of measure fields are available to inform the quantity to be retired, otherwise, the system retires the total quantity.

  3. The system changes the status of the record.

  4. The system posts the remaining balance of ICMS to be credited in the original G/L account.

  5. The system creates a quota with SI status and with no value, and another quota with PE status to be posted to SPED EFD.
