You can use the archiving object HR: Time Quotas (HRTIM_QUOT) to destroy absence quotas. You execute this archiving object after the archiving object HRTIM_ABS. Data from the Absence Quotas infotype (2006) can be destroyed only if all absences linked with the quotas were also destroyed.

In some cases, it can occur that quota-deducting absences are destroyed but the associated quota cannot be destroyed yet. The reason is that there are absences that deduct from this quota, and these absences cannot be destroyed (yet).

In these cases, the system automatically generates an “artificial” compensation for data consistency reasons to ensure that the number of days deducted from the quota are still correct from a technical point of view. To do this, the system creates a data record with the subtype *QA* (without payment) in the Time Quota Compensation infotype (0416) at the end of the data destruction period. These compensation data records cannot be changed manually using the HR Master Data Maintenance (transaction PA30).

Special features when destroying absences relevant for HR Funds and Position Management

Absences that are taken into consideration in HR Funds and Position Management cannot be destroyed even if their retention period has already been exceeded, as otherwise HR Funds and Position Management will no longer function as desired.

If these absences are still to be destroyed, a new absence relevant exclusively for HR Funds and Position Management has to be generated as an alternative for the original absence for the data destruction. These substitute absences are then excluded from the data destruction.

Note Note

Absences that are relevant for HR Funds and Position Management but are valuated with a percentage of 100% in the Customizing view Valuation of Absence Types (V_T7PMN) cannot contain substitute absences as they do not change the financing of the position. From a technical point of view, these absences are not relevant for HR Funds and Position Management and cannot therefore be destroyed directly.
