You can make the following Customizing settings for the archiving object HRTIM_ABS:

  • Group Absence Types

    You can group absence types for which the same retention periods apply into one archiving subobject. In the preprocessing program RPT_ABS_PRE for this archiving object, you can select this grouping of absence types for data destruction.

  • Define substitute absences for HR Funds and Position Management

    Absences that are to be taken into consideration in HR Funds and Position Management (entry in Customizing for Budget Management under Start of the navigation path HR Funds and Position Management Next navigation step Overall Budget Next navigation step Settings for Financing Persons/Positions Next navigation step Calculating the Financing Requirement Next navigation step Define How Absences Are Handled End of the navigation path (view V_T7PMN)) cannot be destroyed even if their retention period has already been exceeded.

    To be able to destroy such absences, a new absence relevant exclusively for HR Funds and Position Management has to be generated as an alternative for the original absence for the data destruction. If the original absence is to be destroyed, then the system automatically generates a substitute absence instead. For data privacy reasons, this substitute absence contains less information than the original absence (for example, a less comprehensive name (instead of “Maternity”, only “Unpaid Absence Days”)).

    To do this, you have to enter a substitute absence in the Customizing view Valuation of Absence Types and XAWART Assignment(V_T7PMN_XAWART). The substitute absence has to be encrypted in Customizing for HR Funds and Position Management (Customizing view V_T7PMN) as well as the original absence (start date, end date, percentage), but can no longer contain a substitute absence itself. If you maintain the Customizing view V_T7PMN_XAWART, the system checks whether these conditions are met. If not, the system issues an error message.

  • Substitute absences when using the Business Add-In (BAdI) PMMN0001

    You can use the BAdI PMMN0001 to take into consideration in HR Funds and Position Management the loss of financing for a position by the entitlement to sick pay supplement in the case of illness. If an implementation of this BAdI exists, you have to create a substitute absence as of the day after the end of the sick pay supplement until the end of the original absence in a customer-specific implementation of the BAdI HRTIM_ARCH_ABS_CREATOR.

Procedure

  1. Group the absence types in Customizing for Personnel Administration under Start of the navigation path Tools Next navigation step Data Privacy Next navigation step Data Destruction Next navigation step Define Grouping of Absence Types End of the navigation path.

  2. Define the substitute absences in the Customizing view Valuation of Absence Types and XAWART Assignment (V_T7PMN_XAWART).

  3. If necessary, create an implementation of the BAdI HRTIM_ARCH_ABS_CREATOR to change substitute absences if you have implemented the BAdI PMMN0001.
