Changing Daily Work Schedule
Usually a daily work schedule (DWS) is defined for a group of employees who hold the same or similar positions within a company. This process enables an employee to change the pre-defined DWS by raising change requests using Employee Self-Service (ESS), for example to substitute the schedule of a working day with that of a non-working day. In addition, this process allows the line manager to raise the change request on an employee’s behalf. As a result, the personal work arrangements in your company become more flexible.

The following scenarios demonstrate how this process works in the web-based applications.
In both scenarios, the line manager can raise a change request for the employees in his or her team. For more information about the ESS application for line managers, see Change Daily Work Schedule for Team.
An employee raises a request to change the DWS of a specific day.
The change request triggers a work list item created for the approver, who then approves or rejects the request.
If the request is approved, the system saves it in the database in the back-end system. If the request is rejected, the system sends an e-mail to the employee.’s mailbox. The employee can cancel the request, or modify the content and send it again.
The HR administrator uses the Daily Work Schedule Substitution Creation
(RPTFWSPOST) report to create records in the Substitution
(2003) infotype, based on the approved requests. A substitution record replaces the original
DWS for the relevant day.
An employee raises a request to change the DWS of a day by substitution, so as to keep the working hours unaffected.
To do so, you must have assigned the valid substitution daily work schedules in the Customizing activity of Map Substitution Daily Work Schedules.
The remaining process steps are the same as for Scenario 1. While raising the request, the employee needs to specify a substitution DWS for both the original day and the substitute date. When the request is approved, the system creates substitution records for both days in the back-end system. During the payroll calculation, the system uses the substitution records when calculating the payment related to the requesting dates. In scenario 2, substitution records for both the requesting date and the substitute date are considered.
