Administration of Selection Procedures In order to administer selection procedures, all planned and completed activities performed for an applicant (e.g. mailing confirmation of receipt of the application, transfer of applicant file, job interview) must be recorded. Activities carried out for an applicant are entered, logged and planned in the
Recruitment
component via the
Applicant activities
function
.
Applicant activities are administrative stages through which an applicant passes during the course of the application procedure. They are created and maintained for each of a candidate's applications. Applicant activities are created partly by the system (e.g.
Receipt of application
) and partly by you.
The following characteristics are among those used to identify an applicant activity:
Activity type
The activity type denotes the activity that is to be carried out for an applicant (e.g.
Mail confirmation of receipt
,
Mail invitation to interview
,
Appointment for interview
).
Activity status
Each applicant activity has a status to indicate whether it has already been performed for an applicant (
completed)
or is still to be performed (
planned
).
Performance date
For planned activities, the performance date indicates the date by or on which the activity is to be carried out; for completed activities it indicates the date on which they were actually carried out.
Person responsible for activity
This person is responsible for ensuring that the activity is carried out on (or by) the deadline specified and may even be responsible for carrying it out personally.
You can also store comments for each applicant activity using SAPscript or Microsoft Word.
Applicant activities enable you to monitor the individual selection procedures. The following instruments provide assistance in this:
Report Planned Actions for Personnel Officer (Monitoring of dates)
This report enables you to create a list of all planned activities to be performed by a personnel officer by a certain date.

With SAPoffice, you can send a standard reminder for each applicant activity in the form of an e-mail. The system settings determine the mail recipient, which can be any of the following:

Overall applicant statistics throughout the company
The overall company applicant statistics display the number of applicants with each overall status and thus the status of the global selection procedure. You can create activity statistics for all applicants from these overall applicant statistics. You can maintain applicant activities directly from the activity statistics.
To create statistics for all applicants across your company, use the Applicant Statistics report (RPAPL005).
Applicant statistics for each vacancy
Applicant statistics for a vacancy display the number of applicants with each vacancy assignment status and thus the status of the selection procedure for a vacancy. You can create activity statistics for all applicants assigned to the vacancy in question from these applicant statistics. You can maintain applicant activities directly from the activity statistics.
To create applicant statistics for a particular vacancy, use the Vacancies report (RPAPL010).
Activities for each applicant
The list of activities per applicant provides information on the processing status of an application.
