Addresses in Industrial Hygiene and Safety

Use

You require address data for performing the following activities:

  • Recording and processing of accidents and minor injuries

  • Recording and tracking of safety measures in Industrial Hygiene and Safety

  • Shipping reports

Prerequisites

The address data must exist in the system. Note the following:

  • Report recipients

    Report recipients are those persons or organizations to which you send SAP EH&S reports by means of report shipping . In incident/accident management you can enter the addresses of the workers’ compensation associations and supervisory authorities as report recipients, for example. See Creating Report Recipients .

    Note Note

    You can also send reports to office users (that is, users of the SAP system) and customers (that is, debtors ). The data for these groups of persons is not managed in Industrial Hygiene and Safety , but in the respective applications – meaning in SAPoffice and SD .   • HR master data

    The HR master datais managed in the SAP Personnel Administration component. In Industrial Hygiene and Safety you can access the relevant data to read it if you have the required authorization.

    Note Note

    Note that employees in Industrial Hygiene and Safety require display authorization to be able to enter accidents or injury/illness log entries for employees, for example. For more information, see Check Authorizations for Person-Related Data in Customizing for Industrial Hygiene and Safety .

  • Applicant master data

    The applicant master datais managed in the SAP Recruitment component. You can access the relevant data for display only.

    Note that employees require display authorization to be able to enter events in which applicants are involved.

  • External persons or organizations

    It is possible that you might have to enter events in incident/accident management , for example, in which persons or organizations were involved that are not managed in Personnel Administration or Recruitment . To enter this type of data you can use the central SAP Business Partner component . In addition to the address data, you can also enter other relevant data there such as gender and marital status.

    You can enter address data on the following business partner roles:

    • External person

    • Physician

    • Hospital (health center)

    • Authority

    • Laboratory

    • External company

Example

When you enter an accident in the system, you will require the data on the employee who had the accident, the physician or hospital treating the injuries, the workers’ compensation association responsible, data on any witnesses, and so on.

As not only the employees of your company, but also employees of other companies or subcontractors can be involved in an accident or incident, you must also have the names and address data for these external persons available.

If an accident report is required, you must also make sure one is sent to the appropriate body. To do this you will need the data for the respective recipients.
