Changing of Items

Use

Special change functions are available for changing important item data that is relevant to shipping or billing . You use the change functions to generate change items with specific validity periods.

The change functions for items are available as follows:

Time sequence for change items

When you record a change, the standard item is replaced with the change item from its valid-from date (the only exception to this is the additional copy redirection in subscription orders). An item can be replaced with one change item at any one point in time. For this reason, the following rules apply when several changes are made for one item:

No overlaps in validity period of limited subtractive change items
No overlaps between an unlimited change item and a limited subtractive change item
This is because the unlimited change generates a new standard item that may differ in important aspects from the subtractive change.

You can also create an unlimited change if its validity period already contains a limited change to the item (e.g. a suspension or redirection). In this case, the limited change is automatically assigned a new reference to the unlimited change. If the period of the existing limited change covers both the planned unlimited change and the original standard item, the limited change must first be split into two periods, one before and one after the unlimited change. Scrolling

You can scroll back from a limited change item to the standard item. You can scroll through unlimited change items in sequence (from the preceding item to the subsequent item and back).

Features

Depending on the purpose of the change, you can generate different changes for a document that have the following features:

Function	Features
Unlimited change	Generates a new unlimited follow-on item for the (closed) previous item; you should always record changes to critical item data that is relevant for shipping or billing as an unlimited change. An unlimited change is not necessary when changing bank or payment card data.
Backdated change to billing methods	Generates a limited change item for the standard item so that billing can be repeated retroactively with different billing arrangements for the standard item already billed; to do this, you must cancel the existing billing document. A subscriber is unable to pay for an annual subscription. Backdated generation of monthly billing documents instead of annual billing gives the subscriber the option of only paying for the months used.
Change of publication	Generates a termination of the standard item with the original publication and creates a new standard item for the "new" publication; the delivery and invoice addresses are copied from the old item into the new one. If commission recalculation is specified, the sales support data is copied into the new item.
Suspension	Generates a limited subtractive change item with the schedule line quantity zero. Planning does not take place in the suspension period; the subscriber can be given a credit memo.
Partial suspension	Generates a limited subtractive change item for part of the standard item quantity. This function is only available if the schedule line quantity is greater than one. Each partial suspension is recorded separately; a number of partial suspensions can overlap. An authority reduces its number of subscriptions during the vacation period.
Gift transfer	Generates a limited subtractive change item for free delivery to an alternate ship-to party; the ship-to party must at least be recorded as a general business partner (they can be created from the basic item screen). Planning does not take place for the standard item in the change period. You can generate a letter of thanks to the sold-to party using the output control functions by specifying a letter type on the reporting detail screen.
Charitable transfer	Generates a limited subtractive change item for delivery to an (anonymous) social facility; the ship-to party is not specified but determined automatically each day for all valid transfers.
= Redirection	Generates a limited subtractive change item for delivery to a temporary address for the sold-to party. Planning does not take place for the standard item for the period of the redirection. The delivery type or the edition may be changed and additional shipping costs can also be incurred.
+ Additional copy redirection	Generates a limited additive change item for additional delivery to a temporary address. The regular ship-to party address is still supplied during the change period. Purchase and possibly shipping costs are incurred for the additional delivery.
