Use

The actual selection of work items or delivery of notifications is performed by the report SWN_SELSEN. To execute the report you need to schedule a corresponding job. To send notifications you must schedule a send job (transaction SCOT).

The job for the SWN_SELSEN report checks whether there is a schedule that needs to be executed. If this is the case, the report selects work items or delivers notifications and sets a time stamp. If the schedule was not executed at the intended time, this is indicated in the time stamp. The schedule is executed the next time the job is started, as is shown in the following example:

A schedule specifies that a report is to be executed between 9am and 10am on Monday. The job is scheduled to run every hour on weekdays. Usually, the schedule is therefore executed at the specified time on Mondays between 9am and 10am. However, if the job could only be executed at 11am because system resources were limited, it recognizes from the time stamp that the schedule still has to be executed.

The results of the SWN_SELSEN report are buffered. As a result, selection and delivery are decoupled. Delivery can take place at any point in time later on. 

Activities

You must ensure that the schedules, the job for executing the report, and the send job are all synchronized to fit your requirements. The system does not perform any consistency or completeness checks. To navigate directly to the job scheduling screen, choose the Job Scheduling icon in the toolbar.

To ensure that the schedules are executed as well, schedule the job for the report SWN_SELSEN in shorter time intervals than for the schedules. In most cases an interval of 15 minutes is sufficient. The job then starts the report every 15 minutes. The report checks whether there are schedules that need to be executed. If there are, the report continues to be executed. If there aren’t, the report is stopped and no more resources are required. For this reason, you can also schedule the job for executing the report in shorter time intervals. A usual time interval for the send job is 30 minutes.

During selection, the report SWN_SELSEN takes into account all filters that are specified in one of the schedules.

To display the log for the execution of the report SWN_SELSEN, choose the Application Log (This graphic is explained in the accompanying text) icon in the toolbar (see also: Log Display).

Example

You want to define the following for the selection of work items:

·        All work items are to be selected once daily, before the working day begins

·        All changed work items are to be selected every 15 minutes

To ensure that the schedules are executed, schedule the job for the report SWN_SELSEN to run daily in 15 minute intervals.
