Index KPI Development
Use index KPIs to measure the status and progress toward strategic objectives. The objectives are measured by the overall status of the standard KPIs that compose the index KPI.
When you add or remove a KPI for a context, the information gets refreshed in the application when a user starts a new session. If a user tries to access a component that uses the KPI, the user is prompted to choose a scorecard recalculation.
The information does not automatically appear in the Home component of the application until a scheduled task runs. You can schedule this task using the Scheduler to run daily, weekly or monthly. If a user tries to access Home before the schedule runs or if the task is never scheduled to run, the user gets a message saying that the scorecard has been modified. The user is prompted to recalculate objectives and KPI status. The user should choose Yes. If the user chooses No, the All Objectives and All KPI's values are zero. These values do not change until the scheduled task runs.
You can do the following with an index KPI:
Select a context from the Context drop-down list to work on KPIs for the context.
Create an index KPI by starting with empty values by clicking New. Then use the Create Index KPI option and Creating using default values option.
Create an index KPI based on an existing index KPI by selecting the index KPI and clicking New. Then use the Create Index KPI option and Create using current values option.
You can modify any of the definitions for this index KPI just as though it were a new KPI created from empty text boxes.
If you want to create a KPI using the current values displayed, you can only do so if the KPIs are the same type — either both standard or both index. If you are displaying an index KPI and you choose Create Standard KPI, the Create using current values option is unavailable to you. If you are displaying a standard KPI and you choose Create Index KPI, the Create using current values option is unavailable.
Review the definitions of an index KPI selected in the Select a KPI list.
Edit an index KPI selected in the Select a KPI list. You can change any definitions except its type. You cannot change an index KPI to a standard KPI and you cannot change a standard KPI to an index KPI.
Rename an index KPI selected in the Select a KPI list by clicking Rename. To maintain uniformity of KPI names, you should type a name no larger than 50 characters, including spaces. Once you review the KPIs in the Scorecard component, you may need to return to this section to rename the KPI if it does not fit correctly.
Delete an index KPI selected in the Select a KPI list by clicking Delete.
Add standard KPIs to this index KPI by selecting them in the ALL KPIs list and clicking Add. Or select a standard KPI in the Selected KPIs list and click Remove to remove it from the list.
Specify a calculation method to perform on the scores of the standard KPIs selected for this index KPI using the options in the Calculation Method list. The resulting value form the calculation is matched to a color in the Index Values section and the index KPI takes that status color.
To set the index KPI's status color by the status color of the standard KPI with the smallest index value, choose Least Value. Use this when an index KPI's performance is only as good as its lowest performing standard KPI. The index KPI indicates poor performance if any one of its standard KPIs has poor performance.
To set the index KPI's status color by the status color of the standard KPI with the greatest index value, choose Greatest Value. Use this when an index KPI's performance is only as good as its greatest performing standard KPI.
To set the index KPI's status color by averaging the Index Values of the standard KPIs, choose Arithmetic Average. The resulting number is matched to the respective index color to determine the index KPI's status indicator color. If the result has a fraction from .0 to .49, the number is rounded down. If the result has a fraction from .5 to .99, the number is rounded up. Use this when an index KPI's performance is based on an averaging of all its standard KPIs.
To set the index KPI's status color by a weighted average of the Index Values of the standard KPIs, choose Weighted Average. The index values of the standard KPIs is averaged along with weights applied to each standard KPI. The resulting number is matched to the respective index color to determine the index KPI's status indicator color. If the result has a fraction from .0 to .49, the number is rounded down. If the result has a fraction from .5 to .99, the number is rounded up. Use this when an index KPI's performance is based on an averaging of all its standard KPIs, but some standard KPIs are more important or less important than others.
If Weighted Average is the calculation method, then the Edit Weights link appears so you can add, change, or remove the individual weights applied to each standard KPI during the calculation. Weights define the relative importance of the KPIs during the Weighted Average calculation method. The weight amounts appear in parentheses next to each KPI in the Selected KPIs list. The weighted average is calculated as: ((kpi_index_value x weight) + (kpi_index_value x weight) + ... ) / (weight + weight + ...)
The Index Values show sequential numbers from low (red) to high (green) to represent the relative index of the standard KPI statuses that make up the index KPI. For example, 1, 2, 3, 4, 5 when using five status indicators and 2, 3, 4 when using three status indicators. The number of status indicators is controlled using Set Application Defaults in the Administration section.
Change the display order that KPIs appear for a perspective using Set Display Order. You can reorder the KPIs for only one perspective at a time. If you want to reorder the KPIs for another perspective, click Set Display Order again and repeat the process. KPIs are reordered in the application, but remain in the alphabetical order in any lists displayed in the Administrator.
View the scorecard hierarchy by clicking View Scorecard Hierarchy. An information box shows a hierarchical list of each perspective, the objectives that are assigned to that perspective, and the KPIs that are assigned to each objective in the perspective.
Once you select the standard KPIs and the index values, an association occurs as follows: the status color of each standard KPI is matched to the same color in the Index Values list. Based on the color match, each standard KPI is assigned that index value. The index values are then used in the specified calculation. The resulting value from the calculation is matched to the appropriate color in the Index Values list, and that color is used for the index KPI's status indicator.
To develop index KPIs, choose Set KPIs in the Scorecards section.
