Creating Metric Sets and Assigning Users to Workflow Steps 
You create metric sets to group dimension member combinations for the purpose of data entry during the workflow process.
You are an Entry and Approval administrator assigned to a PAS model.
You have set defaults that specify which metrics are available for the metric sets.
In the Entry and Approval main window, from the Database drop-down list, choose the model.
Click Create Metric Sets.
From the Dimensions drop-down, select the periodicity/dimension(s) combination that contains the metric(s) you want to add to the metric set. A metric set can contain metrics from one “periodicity, dimension(s)” combination.
In the Metric set name text box, type a name for the metric set. The metric set name has a limit of 24 characters, including spaces.
Add one or more combinations of a metric and its associated dimension(s) to the metric set. If dimensions have members, then the metric is associated with dimension member(s). From the Metrics drop-down list, select a metric. Or, select ALL to display all actual and target metrics.
Note
If there is only one metric associated with the periodicity/dimension(s) selection, then only that metric is available from the drop-list.
The ALL option is available only if the metrics are associated with the same level of the dimension. If the metrics are associated with different levels of a dimension, then ALL is not available from the list.
If you have your Windows display properties set to the Windows XP theme, and you are using Large fonts, a second scroll bar partially obscures the scroll bar for the Select Rows table, making it difficult to navigate the table. To avoid this problem, either change to Normal fonts or switch to the Windows Classic theme.
From each Dimension name drop-down list(s), select a dimension member to display in the table. If a dimension has no dimension members, then only the dimension name is listed. Dimension members are organized as follows:
If the PAS model allows data to be entered at the input level only, select a single dimension from the INPUT list to display in the table. Or, select ALL MEMBERS to display all dimension members in the table.
If the PAS model allows data to be entered at all levels, and the model has even dimension hierarchies, the drop-down list groups dimension members by input level and output level, as well as lists the dimension level names for that dimension. From the INPUT and OUTPUT lists, select a single dimension to display in the table. From the LEVEL list, select a dimension level, and all members from that level are listed in the table. Or, select ALL MEMBERS to display all dimension members in the table.
If the PAS model allows data to be entered at all levels, and the model has uneven hierarchies, the Dimension name drop-down list groups dimension members by input level and output level. From the INPUT and OUTPUT lists, select a single dimension to display in the table. Or, select ALL MEMBERS to display all dimension members in the table.
Note
For uneven hierarchies, any dimension member without children is listed under INPUT in Entry and Approval, even if it is at the output level in the PAS model.
Once you have a combination of metrics and dimension(s) listed in the table, do any of the following to add rows to the metric set:
Select individual check boxes in the first column to add those rows to the metric set.
Select the All box to select all rows.
Select a range of rows by typing the range in the Select Range text box and clicking Select.
Reassign rows to this metric set from a different metric set that is not yet released. To do so, click Update Metric Set Rows to remove them from the not-yet-released metric set and add them to the new metric set.
Note
If there are no rows that meet this criteria, this button is unavailable for selection.
Note
Any previously assigned rows show their metric set names in the Metric Set column.
When you select a check box, the metric set name appears in the Metric Set column for that row.
If you click Update Metric Set Rows, the metric set is automatically saved. If you no longer want the metric set, follow the steps to delete it.
If a metric set has been released, any rows associated with that metric set has grayed check boxes and you cannot select them for the new metric set.
There is a limit of 500 rows in the metric set if you plan for users to enter data with the Excel spreadsheet. If you exceed that number, you can still save the metric set but users can enter data only in the Data Entry screen. The historical and future target Excel spreadsheets are disabled for a metric set larger than 500 rows.
Important: Once a metric is included in a metric set, you cannot change that metric's periodicity or dimensionality in the underlying PAS model. Data is entered and stored according to the metric, and changing its configuration will cause a script error and failure of the data.
In the Resources section, assign users to workflow steps. Select a name from the left-hand list and click the Add arrow next to the appropriate workflow step to add the name to that step. Optionally, you can click the Remove arrow to remove a name from a step.
Note
Each step can have only one user assigned to it.
Data entry is a required step and you must assign a user to this step before you can save the metric set. All other workflow steps are optional.
In the Entry and Approval main window, only the first 15 characters of the name display in the My Metric Sets and All Metric Sets tables.
By default, all users are listed in the Resources section. If the strategy management administrator set up an application group called Entry and Approval, then only the members of that group are listed in the Resources section.
(Optional) Click the Show Current Selections link to view your current selections for this metric set. Tip: If you are building a metric set from combinations that cross a number of different dimension members, it is helpful to show the current selections so that you can preview everything that has been added so far.
Note
The Show Current Selections link only shows saved rows. To show current selections, you must first assign a data entry person and also save your current selections by clicking Update Metric Set Rows.
When you are finished previewing your selections, click the Back to Row Selections link to return to the default view.
Do one of the following to complete this task:
Save the metric set and return to the Entry and Approval main window by clicking Save.
If you are in the process of creating multiple metric sets for this model, click Save & New to create another metric set and refresh the Create Metric Set dialog box.
Discard these changes by clicking Close.
The metric set is now held in “Setup” mode until you release it into the workflow process.
