Creating a KPI for the Library
Click Standard KPIs in the Libraries section.
Click New to display the Create KPI dialog box.
In the text box, type a name for the KPI and then click OK.
Enter the required information for the Description text box and the Responsible drop-down list.
Note
If there are more than 500 users, then you see an Edit link instead of a drop-down list. In this case, click the Edit link to display a Users dialog box containing user names. Then select the user who is responsible for this KPI and click OK.
(Optional) If you want to associate links with this KPI, click Edit next to the Associated Links box and enter the following data:
Field |
Description |
|---|---|
URL |
Type a URL you want to associate with this KPI. You do not have to type http:// because that information is automatically inserted if you omit it. For example, you can type http://internal.company.com/ or you can type: internal.company.com. |
Title |
Type a text name that identifies this URL. The text name appears in the application instead of the URL.
The users see these associated links in the Scorecard component of the application when they display detail information about this item. Users can double-click on the link to go to its location. End of the note. |
Click either Leading or Lagging to identify whether this KPI is a predictor of future performance (a leader) or an indicator of past performance (a lag).
Click either Quantitative or Qualitative to identify whether this KPI is quantitative or qualitative.
Enter numbers that represent the score breaking points to determine the color of the KPI's status indicator. The values represent breaking points for very unacceptable to very acceptable scores. You might see two boxes or four boxes depending on whether the administrator set up three status indicators or five.
If your site has implemented the standard method of calculating index values, enter the four numbers that represent unacceptable to acceptable scores. If your site has implemented the Letter Grade method, which grades acceptable and unacceptable scores by a numeric equivalent of A, B, C, D, and F, enter 60, 70, 80, and 90. For more information, see Methods of Determining Index Values for Standard KPIs.
If you see four boxes, do the following:
In the top box next to the dark red color, enter a number that you consider to be a very unacceptable score. If the KPI has a score that is worse than this number, it shows a dark red color as the KPI's status indicator in. This represents very poor performance.
If you follow the Letter Grade method, you would enter the number 60. If the score is less than 60 (a grade of F), then this KPI has a dark red status indicator.
In the second-from-top box next to the red color, enter a number that you consider to be an unacceptable score. If the KPI has a score that is between this number and the number specified for the dark red color, this KPI's status indicator is a bright red color. This represents poor performance.
Following the Letter Grade method, you would enter the number 70. If the score is equal to or greater than 60 and less than 70 (a grade of D), then this KPI has a red status indicator.
In the second-from-bottom box next to the green color, enter a number that you consider to be an acceptable score. If the KPI has a score that is between this number and the index number specified for the red color, this KPI's status indicator is yellow. This represents steady or average performance.
Following the Letter Grade method, you would enter the number 80. If the score is equal to or greater than 70 and less than 80 (a grade of C), then this KPI has a yellow status indicator.
In the bottom box next to the dark green color, enter a number that you consider to be a very acceptable score. If the KPI has a score that is between this number and the index number specified for the green color, this KPI's status indicator is green. This represents good performance.
Following the Letter Grade method, you would enter the number 90. If the score is equal to or greater than 80 and less than 90 (a grade of B), then this KPI has a green status indicator.
If the KPI has a score that is more than the index number specified for the dark green color, this KPI's status indicator is dark green. This represents optimal performance.
Following the Letter Grade method, if the score is equal to or greater than 90 (a grade of A), then this KPI has a dark green status indicator.
If you see two boxes, do the following:
Next to the red color, enter a number that you consider to be an unacceptable score. If the KPI has a score that is worse than the red number, the KPI has a red status color. This represents poor performance.
Next to the green color, enter a number that you consider to be an acceptable score. If the KPI has a score that is between the green number and the red number, the KPI has a yellow status color. This represents average performance. If the KPI has a score that is more than the green number, the KPI has a green status color. This represents optimal performance.
In the Trend down box, specify the number that you consider to be an unacceptable gap performance value for the KPI.
In the Trend up box, specify the number that you consider a very good gap performance value.
