Workflow Delegation
Workflow delegation is a feature available in the premium package for SAP Sourcing OnDemand. This functionality may not be available on all systems.
Using delegation, workflow items assigned to one user can be reassigned to another user. Any workflow items of the specified type assigned to you will be processed instead by the user you specify. For example, if you delegate projects to another user, all projects assigned to you for approval will be sent to that user.
Delegation functionality can prevent potential delays in the workflow process when you are unavailable, because your workflow items are sent for processing to an available user.
Note
Users with the necessary access rights can use delegation to reassign responsibility from other users. For example, if user_admin has the access rights to edit the profile of user1, user_admin can delegate responsibility for projects from user1 to user2.
Because it may be desirable to delegate different workflow item types to different users, delegating one type of workflow item does not automatically delegate all types. For example, delegating contracts does not also delegate projects.
To be an eligible delegate, a user must have the necessary privileges to approve workflow items of the specified type. That is, you cannot delegate projects to a user who is not able to approve projects.
The person to whom you delegate responsibility for a type of workflow item might delegate to a third user, and so on. If a chain of delegations becomes circular, workflow items of the specified type remain under the control of the original approver.
When someone specifies you as a delegate, you receive e-mail notification.
When a workflow item is delegated, the originating user and the delegate both receive e-mail notification of the delegation. The originating user also receives e-mail notification when the delegate processes a delegated workflow item.
When a user makes any change related to delegation, it is recorded in the change history of the user account.
When a workflow item is delegated, the approvers are changed on the delegated item, and this gets recorded in the item's workflow history.
