Procedure documentationSpecify Document Status Sequence in a Status Schema

You can specify which status values are to occur in which sequence when processing documentation, in a Status Schema. The system then only shows the status values which the user can currently set.

You can protect documents with a specified status value against unauthorized changes, or only allow specified people to make specified changes, e.g. only the project leader can release a project report, in the digital signature.

Procedure

  1. Specify the status values which are to be displayed in document editing, in the IMG.

  2. Create a status schema in the IMG:

    1. Assign status values to the status schema.

    2. Specify the sequence of the status values.

The highest and lowest sequence numbers are the upper and lower status values which the system displays in the current status. The system shows all status values within these limits, and the user can set one of them as the subsequent status.

  3. You can lock documents in specified editing steps against changes, e.g. in the status Released in a digital signature process.

  4. You assign the status schema to the documentation types which you want to use in your project, in the Project Administration.
