To get instant information on alerts, you can configure automatic notifications which are, for example, sent via e-mail or SMS. You can create support messages automatically.

Procedure

  1. To start the setup of alert notifications, you have the following options:

    • In the Business Process Operations work center, do the following:

      1. Choose Set up Business Process Monitoring.

      2. In the Context Navigation select the solution and the respective logical component or business process step.

      3. Select the monitoring object.

    • In the Job Management work center, do the following:

      1. Under Job Monitoring, select a job.

      2. Choose Job Documentation.

      3. Choose the Systems tab page.

      4. Select the logical component to which the business process step is assigned.

      5. Select the system to which the leading role is assigned, and choose Monitoring.

  2. Choose the Notification tab page.

  3. Optional: In the Notification Template field, you can assign a template to be used for notifications.

    To create a notification template which you can assign to multiple monitoring objects, do the following:

    1. From the Business Process Operations work center start screen, choose Set up Business Process Monitoring.

    2. In the Context Navigation, expand the respective solution node.

    3. Under Cross Functions, choose the Notification Template node and define a template.

  4. Select one or both of the notification options:

    • If you want notifications to be sent, for example, via e-mail, choose the Automatic Creation of Notifications field.

    • If you want support messages to be generated automatically, choose the Automatic Creation of Incidents field.

  5. If you want a notification sent, for example, via e-mail, under E-Mail, SMS, do the following:

    1. To specify the conditions under which notifications are generated, you have the following options:

      • Number of Yellow/Red Alerts: You can specify after how many alerts the system should automatically generate notifications.

        If you only want red alerts to trigger the automatic generation of notifications, select the Red Alert Only checkbox.

      • Maximum Wait Time (h): You can specify after how much time the automatic generation of notifications is triggered. The system then triggers the notifications, regardless of the current number of alerts that have occurred.

        You can use this option to avoid the accumulation of too many unprocessed alerts.

      • Red Alerts Only: A notification is triggered for red alerts only. This only applies if you have chosen the Maximum Wait Time option.

    2. To specify the method of sending notifications automatically, you have the following options:

      • To use the Business Process Monitoring framework, do the following:

        1. To specify the sender of the alert, in the Sender field enter the SAP user. Typically, you enter the Business Monitoring User SM_BPMO.

          Note Note

          Ensure the following:

          • You have entered a sender that exists in the client of the SAP Solution Manager in which you configured the business process monitoring.

          • A valid e-mail address is assigned to the sender's user profile (transaction SU01).

        2. in the Recipient Type and Recipient Address fields, enter the required data.

          You enter where the workflow notifications are to be sent (for example, to an e-mail address, a distribution list, or as an SMS to a telephone number).

      • To use customer-specific BAdI implementations additionally or alternatively, do the following:

        1. To identify the correct implementation of the BAdI, in the Filter for BADI_CUSTOM_MESSAGE field, enter the filter value you have maintained during the implementation of the BAdI.

          Filter values are restricted to a maximum of 10 characters.

        2. To ensure the BAdI implementation is used for generating notifications, select the Customer-specific Notification field.

        3. To identify the correct customer-specific message text defined in your BAdI implementation, in the Filter for BADI_BUILD_MESSAGE field, enter the filter value you have maintained during the implementation of the BAdI.

          Filter values are restricted to a maximum of 10 characters.

        Note Note

        BAdI implementations allow you to create a self-defined notification message that in addition is not being sent out via the BPMon framework, but by your own notification mechanism.

    3. Optional: To define the level of detail of information displayed in the notification, you have the following options:

      • If you want a short notification to be sent, for example, as SMS, do not select the Detailed field.

        Only the alert rating, time stamp and alert text are displayed in the notification.

      • If you want detailed information to be displayed in, for example, a notification e-mail, select the Detailed field.

        The names of the business process steps, business processes, interfaces, or of the solution in which the notification message is set up, are displayed in the notification.

      • If you want additional static information to be sent in the notifications, you can do the following:

      1. Optional: Under Recipient Type, select E-mail.

        Note Note

        A notification that is sent as an e-mail is better able to provide the space required for detailed information than a notification that is sent as an SMS.

      2. Optional: In the Document Type field, select the format of the notification. To structure additional text, for example by inserting line breaks, you can use HTML.

      3. Select the Detailed field.

      4. In the Template for Notification Long Text field, enter the additional text.

        If you have selected document type HTML, you can use the formatting options in HTML.

    4. Optional: Choose additional options:

      • To include the URL of the Alert Inbox of the Business Process Operations work center in SAP Solution Manager, do the following:

        1. Ensure the Detailed checkbox is selected.

        2. Ensure the following roles are assigned to the respective users:

          • SAP_SMWORK_BASIC

          • SAP_SMWORK_BPM

        3. Choose the Link to Alert Inbox field.

        The user is directed to the respective monitoring object.

      • To enable the recipient to analyze the root cause of an error, do the following:

        1. Ensure you have assigned a tool set containing one or more tools. For more information, see Assigning Analysis Tools.

          Note Note

          Only tools with the executable type Transaction are included in the e-mail text as link.

        2. Ensure the Detailed checkbox is selected.

        3. Choose the Link to specified Analysis Tool field.

        When opening the link, a logon screen appears and a user name and a password for the managed system are required. A user in the SAP Solution Manager system is not required.

      • To display monitoring activity instructions and in this way ensure effective monitoring and efficient problem resolution, do the following:

        1. Ensure that you have assigned monitoring activities. For more information, see Assigning Monitoring Activities.

        2. Ensure that the Detailed checkbox is selected.

        3. Choose the Include Monitoring Activities Text field.

        The three text blocks Problem Indicators, Error Handling and Escalation Path are displayed in the e-mail text.

      • To include URLs which enable the recipient of the e-mail to confirm a single alert and/or all alerts listed in the e-mail, do the following:

        1. Ensure the Detailed checkbox is selected.

        2. In the Link to confirm Alerts field, select, for example, one of the following options:

          • All alerts at once: The recipient can confirm all alerts listed in the e-mail, at once.

          • Individual alerts: The recipient has to confirm each alert listed in the e-mail, individually.

          • Both: The recipient has the options to confirm the alerts listed in the e-mail, either individually or all at the same time.

        When the URL is opened, the logon screen for the SAP Solution Manager system appears and a user name and a password are requested. Successful confirmation is displayed in the internet browser.

      • To include URLs which enable the recipient of the e-mails to access the alert detail list in the managed system and allow the user to identify the documents which have caused the alert, do the following:

        1. Ensure the Detailed checkbox is selected.

        2. Choose the Link to launch Detail Info field.

        When opening the link, a logon screen appears and a user name and a password for the managed system are required.

        A user in the SAP Solution Manager system is not required.

    5. Optional: To specify the origin of an alert in greater detail, in the Subject Text field, you can use the following placeholders:

      By default, the subject of a notification or Solution Manager support message contains the names of the business process steps, business processes, interfaces, or of the solution in which the notification message is set up.

      If only one alert is displayed in the e-mail, the rating is also displayed. If more than one alerts are displayed, no rating is displayed.

      • $SID$ for the System ID of the managed system

      • $SOL$ for the name of the solution

      • $BUP$ for the name of the business process

      • $MOB$ for the name of the monitoring object

      Example Example

      To generate, for example, the subject text “System SMJ - Alert for Display Material”, you enter System $SID$ - Alert for $MOB$.

  6. If you want a support message generated automatically, under Incident, do the following:

    1. To specify the conditions under which support messages are generated, you have the following options:

      • Number of Yellow/Red Alerts: You can specify after how many alerts the system should automatically generate support messages.

        If you only want red alerts to trigger the automatic generation of support messages, select the Red Alert Only checkbox.

      • Maximum Wait Time (h): You can specify after how much time the automatic generation of support messages is triggered. The system then triggers the support messages, regardless of the current number of alerts that have occurred.

        You can use this option to avoid the accumulation of too many unprocessed alerts.

      • Red Alerts Only: A notification is only triggered for red alerts. This only applies if you have chosen the Maximum Wait Time option.

    2. In the SAP Component field, specify the application component under which the support message is to be created.

    3. In the Priority field, specify the priority of the support message.

    4. To specify the method of sending support messages automatically, you have the following options:

      • To use the Business Process Monitoring framework, do the following:

        1. In the Reporter Type fields, specify the respective user type.

        2. In the Reporter fields, do the following:

          • If the reporter/processor is a user, you enter the user ID.

          • If the reporter/processor is a business partner, enter the number of the business partner.

          Note Note

          To create business partners and assign users to business partners, in SAP Solution Manager, you use transaction BP.

        3. Optional: in the Processor Type and Processor fields, enter the required data.

      • To use customer-specific BAdI implementations additionally or alternatively, do the following:

        1. To identify the correct implementation of the BAdI, in the Filter for BADI_CUSTOM_SUPNOTIF field, enter the filter value that you maintained during the implementation of the BAdI.

          Filter values are restricted to a maximum of 10 characters.

        2. To ensure the BAdI implementation is used for generating support messages, select the Customer-specific Incident field.

        3. To identify the correct customer-specific message text defined in your BAdI implementation, in the Filter for BADI_BUILD_SUPNOTIF field, enter the filter value that you maintained during the implementation of the BAdI.

          Filter values are restricted to a maximum of 10 characters.

        Note Note

        BAdI implementations allow you to create a self-defined support message that in addition is not sent out via the BPMon framework, but by your own notification mechanism.

    5. Optional: To specify the origin of an alert more in detail, in the Subject Text field, you can use the following placeholders:

      By default, the subject of a notification or Solution Manager support message contains the names of the business process step, business process and solution in which the notification message is set up.

      • $SID$ for the System ID of the managed system

      • $SOL$ for the name of the solution

      • $BUP$ for the name of the business process

      • $MOB$ for the name of the monitoring object

      Example Example

      To generate, for example, the subject text “System SMJ - Alert for Display Material”, you enter System $SID$ - Alert for $MOB$.

    6. If you want additional static information to be sent in the support message, in the Template for Incident Long Text field, enter the additional text.

      Note Note

      You cannot use HTML for this.

  7. Optional: To process the notification depending on the content, under Notification Grouping, you can assign a decision table.

    Example Example

    • You want the notification sent to the recipient if a certain sales organization is affected. With the notification grouping you can directly inform the person responsible for sales order errors for a specified sales organization, directly.

    • Different people are involved in the correction of delayed or canceled jobs. Depending on the job name, user, or program name, for example, you can direct the message to the responsible person.

  8. If the monitoring object was already activated, to update the notification configuration, choose the Activate pushbutton.

  9. Save your entries.
