Item Unique Identification (ERP_UID_01)

You can use this Business Function to improve the management of IUID-relevant items.

Status management facilitates processing IUID-relevant items because you can use the status to track the previous activities for this item and the possible follow-on activities are also clearly defined via the status. In addition, communication with the registration authorities has been improved. You can use Enterprise Services to exchange data with the registration authorities, make the scope of data dependent on processes, and communicate configuration changes.

Features

If you activate the Business Function Item Unique Identification (Enhanced Functions) (ERP_UID_02), the following functions and enhancements are available for processing IUID-relevant items:

Enhanced Use of Unique Item IDs
  • Changes in IDoc-Based Communication

The message types ORDCHG and ORDRSP of the IDoc type ORDERS05 have been enhanced so that the UID-relevant indicator is not only sent to the vendor during the initial purchase order transmission, but is also flagged and able to be sent via IDoc when there are subsequent purchase order changes. In addition, the vendor can send this indicator in the shipping notification via EDI.

This Business Function also provides the IDoc type IUID_MESSAGE_COM01, which you can use to transmit unique item ID data.

  • Unique Item IDs in Inventory

You can identify IUID-relevant items during the entire inventory process by their unique item IDs. The unique item ID (unique item identifier, UII) is also displayed in the material documents created in inventory.

  • Unique Item IDs in Purchase Requisitions and Purchase Orders

You can enter unique item IDs in purchase requisitions (transactions ME51N and ME52N) and purchase orders (transactions ME21N and ME22N).

Managing IUID-Relevant Items
  • Status Management for IUID-Relevant Items

Each IUID-relevant item receives a status that reflects the activites that have already been carried out and also defines the possible follow-on activities. An IUID-relevant item can receive a status automatically based on an activity (such as creating a unique item ID) or by a manual procedure in the IUID status board.

The IUID status board (transaction IUID_STATUS_BOARD) enables you to process IUID-relevant items based on their status. You can change the status of individual items and trigger follow-on acitivites (such as communicate new items to the registration authorities).

  • Origin Determination for Unique Item IDs

The system uses the IUID status to determine if a unique item ID has been generated internally (in your SAP system) or externally (by the vendor, for example). The system identifies a unique item ID as external if the corresponding item has the status UII Attached and not the status UII Generated.

Communication with Registration Authorities
  • Process Types for Communicating with Registration Authorities

When posting goods movements, the system determines the process type (such as consumption, dismantling, or responsibility change) based on the movement type and the special stock indicator. This process type defines which data is transmitted to the registration authorities.

  • Reporting Master Data Changes to Registration Authorities

If the master data for an IUID-relevant piece of equipment is changed (such as the material number), these changes are communicated to the registration authorities.

  • Reporting Configuration Changes to Registration Authorities

If, for example, an IUID-relevant item was a part used in an engine and has been replaced by another part during maintenance, you can communicate this configuration change to the registration authorities.
