Function documentationJob List

A job list provides you with a list of planned maintenance jobs to be processed, as well as the information you need to process them. You can configure job lists in a way that reflects how work is organized in your particular organization so that your job list contains only those jobs that are relevant to you.

Example Example

In your organization, each team of maintenance workers has a foreman who allocates all planned maintenance jobs among his team members every morning. You therefore configure the following two job lists:

  • A My Team's Jobs job list that shows all new jobs that have been assigned to a specific work center today

  • A My Jobs job list that shows all the new jobs that have been assigned to a specific maintenance worker today

In this way, the foreman of each team can open the My Team's Jobs job list to see which jobs have been assigned to his team and then allocate the work to individual team members as appropriate. Each individual maintenance worker can open the My Jobs list to see which jobs they have been assigned. They can review and print out the job card for each job before setting about their work.

End of the example.

Features

The following features are available in job lists:

Basic and Detailed Job Information

The job list shows you crucial information for each job at a glance, for example, urgency, start and end dates, and assigned work center. To see more detailed information about a job, you select the job in question. Detailed information could include for example the reference document, the associated technical object, and location information.

Depending on your requirements, you can specify whether a piece of information is displayed directly in the job list as basic information, or on the General Data tab page when a job is selected. It is also possible to add customer-specific information that is not included in the standard delivery. You can customize the display of job information by configuring the layout of the job list POWL (see Configuration of POWLs for Job List and Confirmation List) and enhancing the Generic User Interface Building Blocks (GUIBBs) used in the Job List iView (see Floorplan Manager for Web Dynpro ABAP).

The following information is displayed in the job list as basic information by default:

  • Urgency

The urgency of a job is determined through an implementation of Business Add-In (BAdI) definition BADI_EAMS_JOBLIST. The following is a simple example for illustration purposes only; a variety of input parameters are available for more complex customer-specific implementations.

    Example Example

The urgency of a job is determined by the priority of the reference document and how much time is left until its required completion as follows:

    Priority of Reference Doc.

    High Urgency (High Urgency)

    Medium Urgency (Medium Urgency)

    Low Urgency (Low Urgency)

    Very high

    4 hrs to end

    5 hrs to end

    >5 hrs to end

    High

    3 hrs to end

    4 hrs to end

    > 4 hrs to end

    Medium

    2 hrs to end

    3 hrs to end

    > 3 hrs to end

    Low

    1 hr to end

    2 hrs to end

    > 2 hrs to end

    End of the example.
  • Start and end date

This information is determined from the header of the reference document in the backend system.

  • Priority

This information is determined from the header of the reference document in the backend system.

  • Work center

The following table explains how the system determines the work center of a job:

    Reference Document

    How Work Center is Determined

    Maintenance order

The work center is taken from the operation.

If the work center is not available at operation level, no value is transferred regardless of whether it is available at header level or not.

    Maintenance notification

The work center is taken from the notification header.

  • Reference document description

The reference document can be either a maintenance order or a maintenance notification. If both exist (either a notification was created for an order or an order for a notification), then the order takes precedence.

  • Name of the person responsible

This information is determined from the reference document in the backend system as follows:

The person responsible is taken from the operation if the reference document is an order and from the task if the reference document is a notification. If the job is based on an order with an assigned notification, the person responsible is also taken from the associated operations and tasks. If the person responsible is not available at operation or task level, then no value is transferred regardless of whether it available at header level or not.

  • Technical object number

The technical object can be either the piece of equipment or functional location assigned to the reference document. If both a piece of equipment and a functional location are assigned to the reference document, then the piece of equipment takes precedence.

“Job in Process” Status

When you start to process a job in the job list, its status must change to Job in Process. A job must have this status before it can be confirmed. If you have configured the corresponding Customizing setting accordingly, you can change the status of one or more jobs in the job list by selecting the required job or jobs and choosing Start Processing. Note that if you select multiple jobs and one job already has the status Job in Process, then a warning is displayed and the job in question is not changed.

For more information about this status, see iView: Job List.

Job Card

Each job in the job list has a job card. The job card is a printable PDF document that provides you with all the information you need to perform a job: what you have to do (operations and tasks), where you have to do it, and so on. The job card contains the data of existing shop papers such as operation control ticket, time ticket, and pick list.

You can display the job card for a selected job by choosing the corresponding pushbutton.

Note Note

When you choose to display the job card for a job, the system checks that all the information for the job is still consistent with backend information, for example, that the responsible work center has not been changed. If discrepancies are found, it is not possible to display the job card and you need to refresh the job list.

End of the note.

The following additional functions are available in the job card:

  • You can open the Additional Information dialog box, which is described below.

  • If you have configured the corresponding Customizing setting accordingly, you can change the status of the job to Job in Process by choosing the Start Processing pushbutton. This is possible as long as the job is not already in process.

For more information about this status, see iView: Job List.

Job Assignment

The person and work center responsible for a job are determined from the reference document as described above if possible. You can, however, change this assignment by selecting a job from the job list and then choosing Edit Assignment. If the job has not been assigned to a person or work center in the reference document, then you can also use this function to assign the job for the first time.

Note Note

  • The Edit Assignment pushbutton is only available to users who have authorization for the transactions for changing maintenance orders and notifications in the backend system (IW22 and IW32), in other words, users who are authorized to allocate jobs to team members, for example, a foreman. For more information, see iView: Job List.

  • If a job already has the status Job in Process (in other words, someone has already started working on it), you can still reassign it but the system issues a warning.

End of the note.

In the Edit Assignment dialog box, you can change job assignments as follows:

  • You can assign the job completely

This is the default method of assignment. If the job has already been assigned, the system enters the current work center or combination of work center and person responsible. To reassign the job, you select a new person responsible (from the original work center) or enter a new combination of work center and person responsible.

If you are assigning the job for the first time, then you simply select a work center and person responsible.

  • You can split the job

If you choose Split Job, a list of all the work items in the job appears. If the job has already been assigned, you can reassign each work item to a new person responsible (from the original work center) or enter a new combination of work center and person responsible as described above.

If you are assigning the job for the first time, then you simply select a work center and person responsible for each work item.

    Note Note

The Split Job radio button is not available if the job has only one item.

    End of the note.

After you have applied the new assignments, the job list is refreshed.

Additional Information

You can access additional information on a selected job by choosing the corresponding pushbutton. The following information and functions are available in the Additional Information dialog box:

  • The reference document on which the job is based (see iView: Display Reference Document for Job)

  • A list of the objects associated with the reference document at header level including technical objects, materials, and documents

You can open these objects directly by choosing the link. Alternatively, you can view them in the Asset Viewer by first selecting the object and then choosing Display in Asset Viewer (see iView: Asset Viewer).

  • Enterprise Search

You can search for any other missing information (see Search (Embedded Search)).
