 Destroying FI Documents with Personal Data (Oman)

 

You can use the data destruction object FILOC_OM_PDC to destroy FI documents that contain personal data and are no longer relevant once their retention period expires.

The data destruction object FILOC_OM_PDC is assigned to data destruction program FILOC_OM_PDC_DES.

Standard Fields for ILM Object FILOC_OM_PDC

You use the standard fields to create ILM policies. The standard fields of data destruction object FILOC_OM_PDC for defining ILM policies are:

  • Time Basis

    • DUE_DATE

  • Conditions

    • BUKRS

Procedure

Finding Data Destruction Objects

  1. Execute transaction DOBJ.

  2. To search for the data destruction object, choose Position.

  3. Double-click data destruction object FILOC_OM_PDC to view more information such as the data destruction program and the component.

  4. In the dialog structure, double-click Structure Definition to display the tables from which data is destroyed.

Customizing Settings

To adjust data destruction object FILOC_OM_PDC and define retention rules, proceed as follows:

  1. In transaction ILMARA, define an audit area and assign the ILM object.

  2. In transaction IRMPOL, define ILM rules for data destruction object FILOC_OM_PDC.

  3. In transaction IRMSIM, check (simulate) the retention rules for data destruction object FILOC_OM_PDC(Evaluating Retention Management Definitions).

  4. In transaction ILM_DESTRUCTION, apply the ILM rules for data destruction object FILOC_OM_PDC to data.

Executing Data Destruction Object FILOC_OM_PDC

You can destroy data from the database by executing a data destruction run for the corresponding data destruction object.

Specify the ILM object that is relevant for data destruction object FILOC_OM_PDC.

Start the data destruction (transaction ILM_DESTRUCTION):

  1. Select Data from the Database as the Type of Data to Be Destroyed.

  2. Enter the ILM object associated with data destruction object.

  3. Choose Execute. In the destruction of data from the database, the actions to be started (Destroy and Administration) are displayed.

  4. Define variants for the data destruction program.

    Define a selection variant for the data destruction.

  5. Define a start date and the spool parameters for the data destruction run and choose Execute.
