 Release Account

If you have set up the principle of dual control in Customizing for Customer Accounts under Start of the navigation path Master Data Next navigation step Account Next navigation step Dual Control for Master Data Next navigation step Set Up Release Rules for Master Data End of the navigation path, newly created accounts or changed master data are not active initially. Another user has to check that the data has been entered correctly and release it.

Features

Whenever a new account is created or the master data of an existing account is changed, the system checks whether the data is relevant for release. For more information, see Check for Release Relevance. If the check determines that the data is relevant for release, the system creates a release record in the release table that contains all new and (if available) old master data for the account. The new data does not initially affect operational transactions. The account is given the release status Account in Creation and in Release or Data in Release. You cannot make any further changes to the master data of this account, with the exception of master data for which a separate release procedure exists.

You can display, release, or reject the open release records by choosing Start of the navigation path Account Next navigation step Release Next navigation step Release Account End of the navigation path (F9K4) in the SAP Easy Access menu. To do this, you must not be the same user that created the release record and you need to have authorization for the Release (43) activity of authorization object BCA Account: Bank Areas (F_BKKA_BKA).

Once you have released an account, the system releases the new master data and uses it in operational transactions. The account is given the release status No Data in Release. The release record is given the status Released.

If you have rejected a release record, the system continues to use the old master data in operational transactions or the newly created account remains in status Inactive. The account is given the release status No Data in Release. The release record is given the status Rejected.

You can use the undo (undo) function to undo your decision (release or reject), provided you have not yet saved.

You can use the history at any time to determine which employee performed a release and is therefore jointly reponsible for the master data:

  • From the SAP Easy Access menu, you can display multiple accounts by choosing Start of the navigation path Account Next navigation step Release Next navigation step Display Accounts Data in Release End of the navigation path (F9K5).

  • For an individual account, go to the account master data and choose Display Release History Release History (Display Release History).

Activities

Create a layout for the results list of the release transaction according to your requirements. To find out which fields are available, see Master Data Release: Fields in the Results List Layout.
