User statuses are defined in a status profile in Customizing for Plant Maintenance and Customer Service. If you have the required authorizations, you can set, change, and delete user statuses on header and operation level in maintenance orders. There is an improved UI for doing this on the SAP Web UI for Plant Maintenance.

Prerequisites

If you wish to use the improved UI to change user statuses on header level in maintenance orders, you have to activate the business function Simplified Management of EAM Functions 5 (LOG_EAM_SIMPLICITY_5). If you wish to use the improved UI to change the user statuses of individual order operations, you have to activate the business function Simplified Management of EAM Functions 6 (LOG_EAM_SIMPLICITY_6).

In Customizing for Plant Maintenance and Customer Service under Start of the navigation path Maintenance and Service Processing Next navigation step Maintenance and Service Orders Next navigation step General Data Next navigation step User Status for Orders End of the navigation path, you have defined status profiles with one or more statuses. You have assigned these status profiles to the appropriate order types and assigned all the necessary authorizations.

You have made all the required settings for displaying quickviews. You can find the prerequisites for displaying quickviews under Quickviews.

Assigning a Status Profile

As user statuses are grouped together into status profiles in Customizing, you define which user statuses can be set on header and operation level in a maintenance order by assigning a status profile to the order or operation. As long as no valid status profiles have been assigned to the maintenance order or the operations, you cannot set or change user statuses in the order and the appropriate pushbuttons are grayed out. You can assign the appropriate status profile to the order type in Customizing. If a status profile has not been assigned to the maintenance order in Customizing, you can also assign the appropriate status profile to the maintenance order manually. Once the status profile has been assigned, it can no longer be changed.

  • To assign a status profile to the maintenance order on header level or to display an assigned status profile with all its available statuses, choose Start of the navigation path Additional Functions Next navigation step Status Information End of the navigation path. To assign a status profile, enter the appropriate status profile and choose Apply.

  • To assign a status profile to an individual maintenance operation or to display a status profile that has already been assigned, select the appropriate operation in the Operation Data and click on the system status entry in the Status table column. To assign a status profile, enter the appropriate status profile and choose Apply.

Changing the User Status for the Maintenance Order

If you have activated the business function Simplified Management of EAM Functions 5, you can specify the user status on header level quickly and easily by choosing the Set User Status pushbutton. All the user statuses that have been entered in the corresponding status profile are listed in the drop-down list for this pushbutton. User statuses that are not allowed due to either the sequence defined in Customizing or authorization checks, are grayed out. In the list, you can set and reset all the user statuses that are not grayed out. If a status that has been set can be reset, Reset Status: prefaces the name of the status in the list.

The technical IDs of the user statuses that are set for the current order are displayed in the Identification Region. The descriptions of these user statuses are displayed in a tooltip.

Changing the User Status for an Order Operation

If you have activated the business function Simplified Management of EAM Functions 6, you can set and reset the user status for order operations directly in the corresponding quickview.

  • On the Operation Data tab page, select the appropriate operation and assign a valid status profile to the operation.

    The system copies the initial status of the status profile defined in Customizing to the User Status column.

  • Hover over the User Status column with your mouse.

    The system displays a list of all the user statuses that have been defined in the assigned status profile. In the quickview, you can set and reset all the user statuses that are not grayed out. If a status that has been set can be reset, Reset Status: prefaces the name of the status in the list.

The system updates the User Status table column with the changes you make in the quickview. If you open the order in display mode, the quickview displays both the technical abbreviations and the descriptions for all the user statuses that have already been set.

Note Note

You can also display the User Status table column and the quickviews for the table columns independently of the business function by implementing the SAP note 2148810Information published on SAP site. You can only change the user status in the quickview, however, if you have activated the business function.
