Function documentationClinical Task Management in Ward DWS

You can use this component to integrate different applications into the Task List navigation component in the Ward documentation work station. Tasks enable navigation among different applications without exiting the patient and situation context.

You can use task lists to group together tasks in the context of cross-application and cross-occupational group processes.

Integration

Clinical task management is a component of the Ward documentation work station.

In the Ward documentation work station, the task list is combined with view components and a processing area within a situation.

The Ward documentation work station is integrated into the Occupancy, Arrivals, Departures, and Coding Analyses view types in the clinical work station.

Features

There are two types of task lists in the Ward documentation work station:

  • Type 1 (static): The displayed tasks are permanently connected with the situation of the patient in which they were created.

  • Type 2 (dynamic): The number of displayed tasks of the situations varies in relation to the time of processing.

The distinction between the types static and dynamic also applies for situation templates and situations to which the task lists belong.

Property of the Task Lists

Type 1 (Static)

Type 2 (Dynamic)

Reason for grouping

Tasks in this grouping are regularly part of a global work process that will run frequently.

Tasks from all work processes are collected and displayed in selected subsets as to-do lists under processing aspects.

Advantage of grouping

Standardization of the documentation; overview for other occupational groups involved in the work process in the static situation.

Preparation of the task selection of all selected patients under organizational aspects, such as occupational group, documentation step, due date.

DWS and task list

With the Create Situation, Assign Situation, Edit Situation, and All Situations functions you can open the DWS with a task list type 1 from the clinical work station.

With the Edit Task List function you can open the DWS with a task list type 2 from the clinical work station.

Task list and situation

The task list is an element of the situation.

A number of task templates is defined in the situation template.

Task and the related situation are created when the template is assigned to a patient.

Selection and sequence of the tasks in the task list of a situation are defined in the structure of the template.

A cross-situation task list can be displayed for a patient with multiple situations.

The task list is an element of the situation.

A selection variant is defined in the situation template.

The selection variant is applied to a patient selection with the related task selection.

The tasks that match the selection criteria are displayed as a task list in the cross-patient work situation.

Set of tasks displayed

Depending on the situation, according to the structure of the situation template.

If necessary, can be enhanced in the DWS using Add Task provided the situation is open.

Depending on situation, according to selection variant of the situation template applied to the task selected defined in the system.

The selection can be renewed with different selection criteria in the DWS in order to display more, less, or different tasks.

Situation and task

The relationship exists irrespective of the task status for the complete lifetime of the situation.

A task belongs to exactly one static situation.

The relationship exists only at the runtime and only as long as the task satisfies the selection criteria. A change of status can, for example, result in the task no longer being displayed after Refresh.

A task can be displayed in several dynamic situations.

The component contains a template management function. Task lists are defined in re-usable situation templates. Situation templates have further properties with which you can design the documentation work station to best suit this task list.

Example

Example 1: Static Situation Template

The static situation template Prepare Examination has the following information text:

"This situation is assigned to the patient preferably at least one day before the operative procedure. The situation template contains tasks involving checklists and the clinical orders. If all tasks have the Completed status, the operative procedure can be performed on the following day. The different orders are divided between two tasks only. Each clinical order contains multiple service items. You can use the Monitor Orders task list for the continuous monitoring of the order statuses."

Its structure contains the following task templates (occupational groups responsible):

  • Lung function test available (nurse)

  • ECG available (nurse)

  • Premed documents available (nurse)

  • Surgery consent available (nurse)

  • Lab orders before elective procedure (physician)

  • ECG and X-rays before elective procedure (physician)

Example 2: Dynamic Situation Template

The dynamic situation template Monitor Orders has the following information text:

"In this task list you see the orders in preparation for an elective procedure. The orders are displayed as long as they have the status Open or In Processing."

The selection variant contains the following selection criteria for tasks:

  • Task template corresponds with an entry in the list of selected task templates of the type Inpatient Progress Notes.

  • The completion status of the task is Open or In Processing.
