The Order and Notification List is a personal object worklist (POWL) that you can configure to meet your own requirements. It contains the most important information on maintenance orders and notifications in the form of a table and allows you to process documents directly. The following tabular lists are available in the Order and Notification List:

  • Order List

    The order list contains all the orders that match the selection criteria in the query you have defined. You can navigate to the order to change the data, carry out a mass change, or set a status for one or more orders.

  • Notification List

    The notification list contains all the notifications that match the selection criteria in the query you have defined. You can navigate to the notification to change the data, carry out a mass change, or assign one or more notifications to a specific order.

  • Combined Order and Notification List

    The order and notification list contains all the orders and notifications that match the selection criteria in the query you have defined. You can display and change individual orders and notifications as well as display the assignments of notifications to orders.

  • Order and Operation List

    The order and operation list contains maintenance orders and their operations, including suboperations.

Prerequisites

You have defined and configured queries for the order and notification list. For more information, see Configuration of Order and Notification List POWL.

You have activated the business function Simplified Management of EAM Functions 3 (LOG_EAM_SIMPLICITY_3).

For some of the functions described below, you must also activate the business function Simplified Management of EAM Functions 4 (LOG_EAM_SIMPLICITY_4).

Features

Basic and Detailed Information

The Order and Notification List contains the most important information on maintenance orders, order operations, and maintenance notifications and supports you in the monitoring of dates and costs. You can enhance your personal object worklist with customer-specific fields. It offers you the following processing options:

  • You can choose the Open Settings Dialog pushbutton in each view (Order List, Notification List, Order and Notification List, and Order and Operation List) to specify which information you wish to be displayed in your personal object worklist. You can display, hide, and sort table columns, create filters or change the layout.

  • If you select a table row, the system displays detailed information on the individual orders and notifications on the tab pages General Data, Location Data, and Organizational Data. You can specify on an individual basis which information you wish to be displayed directly in the Order and Notification List and which information should be available in the General Data.

    If you are working with orders that are relevant to work clearance management (WCM), the system additionally displays the tab page Work Permits in the detail information.

  • You can branch directly from the list to the orders, notifications, and assigned technical objects and process them.

  • You have the option of displaying table columns for monitoring critical dates and costs, whose colors help you detect issues. You can modify the logic, colors, and tooltips of the cost monitor with the Business Add-In (BAdI) BADI_EAMS3_POWL.

  • You can customize the display of order and notification information by configuring the layout of the Order and Notification List (see Configuration of Order and Notification POWL) and enhancing the generic user interface building blocks (GUIBBs) used in the Order and Notification List iView (see Floorplan Manager for Web Dynpro ABAP).

Set Status

You can use this function to change the status of selected orders, operations, or notifications.

  • Changing the Status in the Order List and in the Notification List

    You can use this function to change the status of selected orders or notifications. Depending on whether you are in the Order List or Notification List, select one or more rows in the table and choose either the Set Order Status or Set Notification Status pushbutton. You can choose from the statuses that are currently possible for at least one of the rows you selected. In the Changed column, you can see for which notifications or orders the status was changed. If you only select one notification or one order, you can only choose a status from the list that can be set for the currently selected object type.

  • Changing the Status in the Combined Order and Notification List

    If you select both orders and notifications in the combined Order and Notification List, you can choose the Set Order and Notification Status pushbutton. However, you can only choose those statuses that can be set for both orders and notifications, such as Put in Process, Set Deletion Flag, or Reset Deletion Flag.

  • Changing the Status in the Order and Operation List

    In the Order and Operation List, you can change the system status of several orders at the same time.

Displaying Assignments of Notifications to Orders

In the combined Order and Notification List, the table columns Order/Ntf. and Ass. Order/Ntf. are available for processing orders and their assigned notifications. Notifications are only displayed in the Ass. Order/Ntf. field if they are assigned to the order at header level. For notifications assigned in the object list, the system displays several table rows with the same order number and shows the notification numbers in the Ord.Ntf. field.

The business function Simplified Management of EAM Function 4 (LOG_EAM_SIMPLICITY_4) provides the table columns Order, Notification, and Leading Document, which give you a better overview of the orders and notifications assigned to them. If you sort the orders in ascending or descending order, the notification assignments are displayed in a structured overview. If more than one notification is assigned to an order, the system displays all the notification numbers for that order in the Notification column. The notification assigned at header level is displayed in the same row as the order and any additional notifications are displayed in the rows below that. Even if you filter the list by a specific order, the system displays all the notifications that belong to the order. For rows that have both an order and a notification number, the Leading Document column tells you whether the data belongs to the order or to the notification. Notification and order numbers are links that take you to the corresponding document for making changes.

Mass Change of Orders, Operations, and Notifications

The following lists provide a mass data change function for changing data in more than one maintenance document at a time:

  • Order List

    You can change the data of several selected orders, such as header data, location data, and control data.

  • Order and Operation List

    You can change the data of several selected operations, such as internal data, external data, and scheduling data.

  • Notification List

    You can change the data of several selected notifications, such as general data or deadline data.

If you select more than one order, operation, or notification and choose the Mass Change pushbutton, the system displays a popup so that you can define which fields you want to change and which field values should replace the current values. In the Changed column, you can check whether the mass change was successful for all the selected documents.

Assigning Notifications to an Order

In the Notification List, you can assign one or more notifications that have not yet been assigned to a maintenance order either to an existing order or to a new order by creating one without leaving the list. To do so, select one or more notifications and choose the Assign Order pushbutton. If you have not yet assigned a notification at header level, the first selected notification in the list is automatically assigned to the order at header level by the system. Any further notifications are listed in the order object list.

Print Object

You can use this function to print the shop papers of the selected order or notification either physically to an actual output device or virtually to the job card (output device Job Card). For more information, see Printing.

Work Permit Management

If an order is WCM-relevant, then when you select it in the order and notification list, detailed information about assigned work permits is displayed, for example, validity period, processing status, and approval status. The following functions are also available for work permits:

  • Request new

  • Change

  • Display

  • Copy

  • Print

  • Extend validity

  • Close

Note that when you request a new work permit or copy an existing one, you navigate to the work permit application. You must therefore refresh the list of work permits in the order to see the new work permit.
