Use

If you want to use alerts as the distribution type when performing exception-specific precalculation of queries, then you have to perform certain settings in Alert Management.

Procedure

1. Defining Alert Categories

       1.      Call the central alert server in the BI system (transaction code ALRTCATDEF).

       2.      To switch to change mode, choose Display/Change.

       3.      Choose This graphic is explained in the accompanying text Create Alert Category.

       4.      Enter a description on the Properties tab page and assign the required priority and classification to the alert category.

       5.      Perform any additional settings required for the alert category and choose Save.

2. Creating Alert Containers

The alert container ensures the exchange between the BI variables and the variables in the central alert server. The alert container is required in particular for text variables that are used in alerts.

       1.      On the Containers tab page, choose  This graphic is explained in the accompanying text Create.

       2.      Enter a suitable name for the element, a meaningful description and a short description.

       3.      Select ABAP Dictionary Reference as the data type.

       4.      Enter WFSYST as the structure and RESULT as the field.

       5.      Choose Confirm.

3. Setting Alert Texts

       1.      If you want to write alert texts for SMS, e-mails or faxes, then choose the Short Text and Long Text tab page.

       2.      Enter a message title and either a short text or a long text.

Note

You can use variables in the text. For example, the variable from the alert container or a variable for the date.

4. Specifying Subsequent Activities (Optional)

You can specify a subsequent activity. For example, you can insert a link to your sales department as a subsequent activity. The link is added as soon as the exception outputs an alert.

       1.      On the Optional Subseq. Activities tab page, choose  This graphic is explained in the accompanying text Create Subsq. Activity.

       2.      Enter a description and the required URL.

5. Specifying Recipients

       1.      Specify the alert recipients either by using a fixed user assignment, user roles or subscription (based on user roles).

       To use a fixed user assignment, choose Fixed Recipients and enter the user name of the recipient by using New Entries.

       To specify recipients by using user roles, choose Recipients Via User Roles and enter the relevant roles using New Entries.

       To give the recipients the option of deciding whether they need the alert, then choose Authorization for Subscription and enter the relevant roles using New Entries.

       2.      Save your entries.

6. Setting Technical Parameters

       1.      Choose Settings Configuration.

       2.      If you want to confirm the alerts by SMS or Internet Mail, then specify a user for inbound processing.

       3.      Specify whether the system returns a status (for errors, for example).

       4.      Save your entries and choose Back.

       5.      Specify the required alert server using Settings RFC Destination of Alert Server.

Use the search help to choose the RFC destination of the system (and client) in which your central Alert Management is running. The alerts are forwarded by RFC from this system to the central alert server from where the alerts are then sent out. The alert categories must be maintained on the central alert server.

       6.      Save your entries and choose Back.

       7.      To guarantee that the recipients receive an alert message, make sure that the e-mail addresses of the relevant users are entered in user maintenance (transaction code SU01) and that communication type E-Mail is specified.

Result

You have made the required settings for alert broadcasting and you can now make broadcasting settings in BEx Broadcaster for exception-specific precalculation of queries, which are sent as alerts.
