Procedure documentationExporting a DATEV FI File Locate this document in the navigation structure

The DATEV FI Interface offers you several export options. You must select one of the following:

  • Export all postings made within a specific period:

You are using SAP Business One as your ERP system.

The system performs a complete export; you do not need to give the tax consultant any additional posting lists.

  • Select and export certain postings only:

You are using SAP Business One mainly for logistical procedures, and your tax consultant does the actual accounting outside of the system.

    • Use the activity type to choose the relevant postings for the export.

    • All manual postings must be transferred to your tax consultant in additional lists.

    • To close the balance sheet in SAP Business One, you need to manually complete all the necessary postings in the SAP Business One system that were created in DATEV by the tax consultant.

With both options, the export is performed as a gross posting.

You can also select to export the following master data . This option is not mandatory.

  • G/L Accounts

  • Accounts Receivable

  • Accounts Payable

    Note Note

Only new or updated master data with user-defined field BD: Primary input Yes/No set to Yes are exported. After the export, the user-defined field BD: Primary input Yes/No is automatically set to No.. For more information, see Special Features of Master Data Export.

    End of the note.

Procedure

  1. Start the export of posting data in DATEV format.

In the main menu or in the menu bar choose   Administration   Data Import/Export   Data Export   DATEV Export  . The input screen for the data export opens.

  2. Choose to export all journal entries or certain postings only.

  3. If you choose the latter option, select the activity type.

  4. Specify the period the export is to cover.

  5. By default, all postings are performed using the DATEV sub ledger accounts assigned to the relevant business partners.

Deselect Use subledger accounts for the export if you do not want:

    • Customer and vendor accounts to be used during the posting transfer

    • The relevant postings to be entered in the consolidated personal accounts (receivables, payables)

  6. In the Accounts area, choose the master data that you want to export. By default, all accounts are selected. For at least the first export, keep this setting to ensure that:

    • All the necessary account master data (general ledger accounts, account numbers, and customer and vendor account names) is available to your tax consultant for further processing in one system.

    • Your tax consultant can check whether you are both using the same chart of accounts.

  7. The settlement number is set automatically for the first export. Consequently, the system provides a default value based on the last settlement number.

Change the default number provided, as needed.

    • Settlement number length: 4-digit maximum

    • File number: the abbreviation of the year is added, for example, the number 0077 + the year 2004 = 007704.

  8. Enter a data medium number of up to 3 digits. The data medium number is:

    • Automatically transferred to the data medium (such as a floppy disc) as an ID code.

    • Displayed in the header data for the transfer file.

The system proposes a value based on the corresponding settlement number.

The first time you use a data medium, you can select the data medium number. Subsequently, every time you use the same data medium, you must enter the number you assigned.

  9. Choose OK to confirm you entries. The system prompts you for an optional password for the export.

Choosing Yes opens a password dialog box.

    1. Enter a password of up to 4 digits in both fields.

    2. To confirm your entries, choose the OK button. This transaction may take a few minutes.

Result

After the export has completed successfully, the system creates a DATEV export file in the specified directory and you view the following export results in the System Message window:

  • Number of transactions: Total number of exported marketing documents

  • Number of transferred JE: Total number of exported manual journal entries

  • Number of G/L account: Total number of exported general ledger accounts

  • Number of accounts payable: Total number of exported accounts payable

  • Number of accounts receivable: Total number of exported accounts receivable

Note Note

The number is calculated and determined by the DATEV add-on instead of by SAP Business One.

If you perform several exports during the period specified, the most recently exported data overwrites earlier exports.

End of the note.

Caution Caution

The file now contains company-specific financial information in a pure text format. Save the file using a data medium (disc drive, floppy disc, and so on) that is protected by special access rights. You can protect your data from unauthorized access by assigning authorizations to the operating system.

End of the caution.
