You can import quotations from SAP Business One to Microsoft Outlook and then display, edit, or send them as e-mails. Your selections for filter criteria define which quotations are imported from SAP Business One to Microsoft Outlook. These criteria including the following:

  • Owner of quotation

  • Status of quotation

  • Posting date of quotation

Prerequisites

You have established a connection between SAP Business One and Microsoft Outlook.

Procedure

  1. In Microsoft Outlook, choose   SAP Business One   Quotations   Set Filter  .

    The Quotations Filter window appears.

  2. Select the following criteria:

    Quotations Filter Window

    Owner

    Select one of the following:

    • All Quotations: All quotations from SAP Business One are imported.

    • My Quotations: The system only imports those quotations for which you are the associated sales employee.

    Status

    Select one of the following:

    • All Quotations

    • Open quotations only

    • Closed quotations only

    Posting Date

    The dates you enter refer to the day on which a quotation was posted. You have two main options:

    • In the Past: In the Days field, enter the number of days for which posted quotations are to be imported.

    • Range: If you select this option, you can define one of three different ranges:

      • Select From and To and enter the dates for the range. Quotations posted within this range are imported from SAP Business One.

      • Select From and enter a date. Quotations starting on this date until the current date (Today) are imported from SAP Business One.

        Note Note

        If you select this option, new quotations created in SAP Business One are not imported automatically each day. You must update your Quotations folder in Microsoft Outlook (see Importing Quotations to Microsoft Outlook).

      • Select To and enter a date. All quotations from the Inception date to the date you specify are imported from SAP Business One.

  3. To save this data to the database, choose the Save button.

    To save this data to the database and import new quotations from SAP Business One according to these criteria, choose the Save and Refresh button.
