Inventory opening balances refers to the financial quantities of your inventory at the beginning of a new financial period.

You can set up inventory opening balances at either of the following points in time:

  • As initial settings, before you have any inventory transactions. This gives you a picture of your inventory from the moment you start to work with SAP Business One.

  • If you were not able to enter inventory opening balances as initial settings, you also can enter the balances later on, when inventory transactions already exist in the application.

Procedure

  1. From the SAP Business One Main Menu, choose   Inventory   Inventory Transactions   Inventory Opening Balances  .

  2. In the Price Source for Whse Inventory Posting field in the header area, select the price source for the items to be added.

  3. Add items for which you want to enter opening balances.

    To select simultaneously all the items that meet your criteria, you can use the Add Items button to open the Inventory Opening Balances – Items Selection Criteria window, and specify your criteria for item selection.

  4. Enter the inventory opening balances data, including initial quantities in the Opening Balance field, unit prices for the items, and open inventory accounts.

  5. Choose the Add button.

Note Note

To allow initial quantities with a price value of 0, select the Allow Positive Inventory Opening Balances with Zero Price checkbox in   System Initialization   Document Settings   Inventory Opening Balances  .

Managing Serial and Batch Numbers in Inventory Opening Balances

To create new serial and batch numbers or select from existing ones to issue from stock in the Inventory Opening Balances window, proceed as follows:

  1. Place the cursor in the rows of items managed by serial or batch numbers, and do one of the following:

    • Right-click and choose Serial and Batch Selection.

    • From the Goto menu, choose Serial and Batch Selection.

    • Place the cursor in the Opening Balance field, and press Ctrl + Tab.

  2. Depending on whether the opening balance is positive or negative, do one of the following:

    • Positive Opening Balances

      1. The Serial Numbers – Setup window or the Batches – Setup window opens.

      2. Create serial and batch numbers for the opening balances. For more information, see Serial Number – Setup Window and Batches – Setup Window.

    • Negative Opening Balances

      1. The Serial Number Selection window or the Batch Number Selection window opens.

      2. Select serial numbers or batch numbers to move to the Selected Serial Numbers section or the Selected Batches section. SAP Business One issues the selected serial and batch numbers from stock after you add the opening balance. For more information, see Serial Number Selection Window and Batches Number Selection Window.

Note Note

The created or selected quantity of serial and batch numbers must be the same as the opening balance before you can add the opening balance in the system.

Note Note

You cannot handle unit of measure (UoM) in inventory opening balances because inventory opening balances are always managed in inventory UoM.
