Before you can synchronize a new or already existing task in Microsoft Outlook with SAP Business One data, you must associate the task with a business partner or contact person previously saved in SAP Business One. You only need to associate a Microsoft Outlook task once.

You can also associate linked documents in SAP Business One with the Microsoft Outlook task. You can select from the following types of linked documents:

  • Sales quotation

  • Sales order

  • Delivery

  • Returns

  • A/R invoice

  • A/R credit memo

  • Purchase order

  • Goods receipt PO

  • Goods returns

  • A/P invoice

  • A/P credit memo

  • Landed costs

  • Incoming payment

  • Outgoing payments

  • Deposit

  • Check for payment

  • Journal entry

  • Inventory transfer

  • Goods issue

  • Goods receipt

  • Production instructions

  • Items

Procedure

  1. In Microsoft Outlook, open a task and then choose   SAP Business One   Associate With...  .

    The Associate With window appears.

  2. On the Business Partner tab, specify the following data:

    Business Partner Code

    Enter the business partner code for SAP Business One.

    • To display a list of all business partners in SAP Business One:

      1. Click

      2. In the Select Business Partner window, select a business partner code.

        and

      3. Choose the OK button.

    • If you have already linked this task to Microsoft Outlook contacts, the system activates the Recommend button. To search for business partners in SAP Business One whose e-mail addresses have the same e-mail domain as your Microsoft Outlook contact’s:

      1. Choose the Recommend button.

      2. Select one of the business partners from the list generated by the system.

    Business Partner Name

    Name of the business partner.

    Use Existing Contact Person

    Select to associate the task in Microsoft Outlook with an available contact person in SAP Business One.

    Use Business Partner

    Select to associate the Microsoft Outlook task directly with the business partner master data in SAP Business One.

    Assigned To

    Displays your logon user.

    Clear

    Choose to remove the entries from all fields on the Business Partner and Document tabs.

  3. To save linked documents in SAP Business One with this task, on the Document tab, select from the following options:

    Associate With Window: Document Tab

    Document Type

    Select the type of linked document in SAP Business One to be saved with the task.

    Document Number

    Click to select the appropriate document number.

    Filter List by Selected Business Partner

    Select to associate only those documents linked to the business partner code you entered on the Business Partnertab.

    Source Object Type

    After synchronization, displays the type of source object for the document that has been saved with this task.

    Source Object Number

    After synchronization, displays the number of source object for the document that has been saved with this task.

  4. On the Company tab, the system displays the logon information for the current SAP Business One session.

  5. To associate the task with the corresponding SAP Business One data, choose the OK button.

    To associate the task and then synchronize it with the current data in SAP Business One, choose the Synchronize This button.

Result

According to your selections, the Microsoft Outlook task is associated with the SAP Business One business partner or contact person and/or corresponding linked documents.

After the task has been successfully synchronized, the system displays information about the associated task. Choose OK.

To view the associated task at any other time, activate the task and then choose   SAP Business One   Associated Task  .
