If you have not automated ILM file conversion and storage by making the relevant settings, you can perform these steps manually in the Retention Warehouse Cockpit.

Prerequisites

The following archive information structures are active:

  • SAP_SN_META_01

  • SAP_SN_META_02

Procedure

1. Call Up ILM Archive File Conversion and ILM Store
  1. In Retention Warehouse Cockpit, choose Start of the navigation path Archive Files Transfer Next navigation step Convert and Store Archive Files End of the navigation path.

  2. Under Links to Legacy Systems, select the legacy system's ID (double-click).

2. Schedule ILM Archive File Conversion
  1. Select the Convert Files tab page (standard setting).

  2. Select the archiving sessions for which you want to convert files according to ILM from the list of Sessions and Files.

  3. Choose File Conversion.

  4. Schedule the execution of data conversion as follows:

    Input

    Description

    Flow Control

    • Test mode: Simulating the conversion (log creation only)

    • Production mode: Transferring the archive files:

    Detail Log

    This option causes the system to issue log entries for success messages as well as an error messages when archive administration data is transferred.

    Converting to Snapshots

    For specific data (such as master data) without retention rules that is contained in complete archiving sessions, you can decide that you want the system to convert complete archiving sessions into snapshots.

    With Conversion

    This option ensures that archive file conversion that occurs when you make changes (for example, type changes for fields) between archiving and archive file conversion takes the current structure into consideration.

    This means the time to access data for the display functions is reduced.

  5. Track the process of the archive file conversion in Job Overview.

    You can view the result of archive file conversion in the Sessions and Files structure under the following nodes:

    • From File Conversion: All converted archiving sessions and snapshots

    • Delta Runs from File Conversion: All non-converted archiving sessions and snapshots (to which ILM rules could not be applied)

3. Schedule Storage of Converted Archived Files
  1. Select the Store Files tab page.

  2. Select the archiving sessions for which you want to store files from the list of Sessions and Files.

  3. Choose File Store.

  4. Schedule the execution of data storage as follows:

    Input

    Description

    Start Date and Time

    Time-based specifications for starting data storage

    Spool Parameters

    Specifications for print output in SAP background processing

  5. Track the process of the storage process in Job Overview.

    When data storage is complete, the system sets the status of the process to File Storage Finished

    If the log for archive file conversion reports missing or inactive archive information structure, you can retroactively store or activate them manually.
